Job summary

Webuild is seeking a Proposal Coordinator to manage RFQ/RFP submissions, keep bids on schedule, and coordinate input from technical, commercial, legal, HR and partners. The role ensures compliant, polished responses tailored to owner requirements and maintains a robust content library.

You will develop content, manage graphics/assets, and oversee document control while supporting a dynamic proposals team across Canadian projects.

Qualifications

• Degree or diploma in Communications, Business, Engineering or related field.
• 3+ years of proposal coordination experience in construction, engineering or infrastructure.
• Knowledge of RFQ/RFP processes, Infrastructure Ontario and Metrolinx.
• Excellent writing, editing and organizational skills.
• Advanced skills in Microsoft Word, Excel, PowerPoint and Adobe InDesign/Acrobat.
• APMP certification is an asset.
• Willingness to travel within Canada.

Responsibilities

• Review RFQ/RFP documents and build compliance matrices, submission requirement checklists and response outlines.
• Develop and manage the proposal schedule, internal deadlines and review cycles.
• Coordinate input from technical, commercial, legal, HR and partner contributors.
• Collect and tailor corporate qualifications: project references, key personnel resumes, financial information, safety statistics and certifications.
• Draft, edit and standardize proposal content to ensure a consistent voice and quality.
• Coordinate graphics, formatting and desktop publishing with designers.
• Manage the proposal document library, version control and secure data room access.
• Track addenda, owner clarifications and questions submitted to the owner.
• Manage final production and submission, whether electronic or hard copy, making sure all forms, signatures and deadlines are met.
• Maintain a library of reusable content for future bids.
