Job summary

CMCC in North York, Ontario, is seeking a Special Events Coordinator for a 6-month contract ending March 2027. Hours are 35 per week, Monday to Friday, with start ASAP and a pay rate of $29.20–$37.96 per hour. You will plan and manage major events, coordinate budgets, and lead volunteers to deliver high-profile alumni events.

The role requires a diploma in Special Events Planning, fundraising experience, and strong communication skills. Travel and flexible hours are expected during events.

Qualifications

  • 2-year college diploma in Special Events Planning or related field.
  • Special event planning designation and/or equivalent experience preferred.
  • Minimum of two years related experience in higher education, association, nonprofit or alumni relations preferred.
  • Fundraising and event revenue experience.
  • Excellent writing and copyediting skills for promotional material and reports.
  • Proficiency with MS Office and databases; familiarity with Survey Monkey and Canva preferred.

Responsibilities

  • Plan, manage and evaluate major annual events including: Backs in Motion Run/Walk, BackSwing Golf Tournament, and a tradeshow.
  • Assist planning of Orientation Week, CMCC Birthday, Remembrance Day, awards, and holiday events.
  • Coordinate budgets, monitor revenues/expenses, and prepare financial statements and reports.
  • Ensure SOP compliance, permits, and vendor agreements; recruit and manage volunteers.
  • Develop event promotion strategies using print, web, social media, and PR channels.
  • Oversee fundraising within events and manage donor-related activities.

Reports to: Manager, Alumni Engagement and Special Events

Hours/Days of Work: 35 hours/week, Monday – Friday, 8:30 AM to 4:30 PM

Responsibilities
  • Plan, manage and evaluate major annual events including:
    • Backs in Motion 10km Run & 5km Run/Walk (community race)
    • BackSwing Golf Tournament (golf tournament and silent auction)
    • Practice Opportunity Tradeshow (keynote speaker, panel presentation; vendor and career fair)
  • Assist/plan, manage and evaluate additional events including:
    • Orientation Week
    • CMCC’s Birthday
    • Remembrance Day
    • Undergrad Awards
    • Holiday Market
    • Employee Holiday Party & Recognition Event
    • Board Graduate Celebration and Convocation
  • Other CMCC hosted events as required
  • Coordinate and manage set budgets: monitor revenues and expenses, prepare final financial statements and reports and conduct a financial analysis.
  • Ensure compliance of SOP, park and street permits.
  • Recruit and manage staff, student and public event volunteers.
  • Prepare event promotional strategy using various mediums including print advertisements, website updates, tradeshow marketing, social media, email marketing, direct mail, word of mouth campaigns, PR opportunities, etc.
  • Manage fundraising program within applicable events such as the peer-to-peer fundraising campaign for Backs in Motion
  • Coordinate special event gift processing in accordance with Canada Revenue Agency regulations.
  • Provide guidance for volunteers and other areas in the institution in the best practices of fundraising, marketing and event planning.
  • Provide coverage for Manager, Alumni Engagement and Special Events during absence.
  • Other duties as assigned
Qualifications
  • 2-year College Diploma in Special Events Planning or related field (Event Management, Hospitality, Marketing, Communications, Business)
  • Special event planning designation and/or equivalent experience preferred
  • Minimum of two years related experience in higher education, association, nonprofit or alumni relations preferred
  • Fundraising and event revenue experience
  • Above average skills in writing and copyediting for promotional material, reports, letters, and general announcements.
  • Above average skills in MS Office and database programs (experience with Survey Monkey, Canva, Social Media and App technology is preferred.)
  • Spreadsheet Management
  • Outstanding organizational skills, negotiation skills, strong attention to detail and the ability to handle multiple projects simultaneously
  • Strong interpersonal skills for interacting with individuals in various levels and external and internal stakeholders
  • Budget development and implementation experience and the ability to stay within the event budget
  • Ability to negotiate and follow-up on agreements with vendors
  • Ability to work independently and as an effective team member
  • Comfortable being hands on with event setup and teardown
  • Experience working with and supervising volunteers
  • Dynamic and energetic approach to work
  • Ability to travel and work flexible hours (including evenings and weekends) as required (particularly at event time)
  • Possession of a valid driver’s license and use of a car
  • Revenue generating experience in event planning, preferably in sporting events is an asset
