Job summary

MCI Canada is seeking a Coordinator, Strategic Partnerships to support sponsorships, affiliate partnerships and sales administration for CCS associations. You will conduct market research, develop databases, create sales collateral and tracking systems.

This role collaborates with internal teams and clients, manages sponsor relations, coordinates exhibits, advertising, and post-event reporting, and may require travel and occasional evening work.

Qualifications

  • Minimum of two years’ work experience in event and/or partnership management and fulfilment.
  • Sponsorship & exhibit sales, association management, hospitality, and/or not-for-profit experience is an asset
  • Degree or Diploma in Business, Administration, Hospitality, Event Management and/or a related field, or equivalent experience.
  • Excellent verbal and written communication skills in English. French is an asset.
  • Ability to work in a fast-paced environment and support multiple projects at the same time.
  • Knowledge of fundraising, associations and not-for-profit business environment is an asset.
  • Able to travel in Canada and, if necessary, internationally.
  • Ability to work effectively both from home and/or an MCI office as required.

Responsibilities

  • Main point of contact for all sponsors / exhibitors.
  • Work collaboratively with internal teams and external clients.
  • Identification and development of advertising and sponsorship assets.
  • Point person for the build and management of the sponsor/exhibitor sales & fulfilment system.
  • Sponsorship / exhibition activity tracking.
  • Implementation of all sponsor / exhibitor contracts with the Operations team.
  • Sales, invoice and payment tracking of ancillary sponsorship activities and events.
  • Sponsorship fulfillment such as but not limited to exhibition, symposia, meeting, advertising, and marketing properties.
  • Corporate partnership fulfillment such as but not limited to educational activities, digital marketing, and advertising.
  • Deployment and tracking of sponsor/exhibitor communications benefits to digital marketing team.
  • Collaboration with communications and conference operations team to ensure a high-quality sponsor / exhibitor experience.
  • Collaboration with sales and operations team on development of exhibit hall and symposia schedules and floor plans.
  • Onsite point of contact for all sponsors and exhibitors.
  • Development of post event sponsorship report.
  • Manage the development and deployment of the sponsor / exhibitor post event survey and sponsor / exhibitor final report.
  • Maintain up-to-date documentation and user manuals

JOB OBJECTIVE

The MCI Canada Consulting & Community Solutions team supports Canadian and International Associations with:

  • Executive leadership

  • Marketing & communications

A key member of MCI Canada’s CCS association management and events team, the Coordinator, Strategic Partnerships is responsible for supporting the development of industry sponsorships, grant applications, affiliate partnerships and sales administration. This includes market research, database development, sales collateral, sales solicitation, tracking, and reporting.

Main Responsibilities
  • The coordinator is an adept multi-tasker, who can manage a number of diverse tasks across a variety of conferences, projects, and associations.
  • This role is specifically focused on tasks related to administration and delivery of sponsorships, exhibits, advertising, and affiliate partnerships:
    • Main point of contact for all sponsors / exhibitors
    • Work collaboratively with internal teams and external clients

Description Of The Relationships
  • Reports directly into the Manager, Conference Operations, Consulting & Community Solutions
  • Internally collaborates with the Head of Strategic Partnerships MarCom and operations teams
  • Internally collaborates daily with CCS team members
  • Internally collaborates as needed with all members of the MCI Canada and MCI Global teams.
  • Externally collaborates with clients, industry and affiliate stakeholders
  • Maintains professional relationship with suppliers, and temporary staff
  • Provides a high-level of customer service to clients, sponsors, exhibitors, and affiliates
Job Requirements

  • Strong computer skills are a must:

  • Experience working with a range of technology systems specific to:
    • Event Management systems
    • Sponsorship & Exhibit systems
    • Customer Relationship Management systems
