Job summary

WQS Group of Companies in Fort McMurray is seeking an experienced Site Administrator to support field operations, payroll processes, workforce administration, and project teams in a fast-paced industrial environment.

You will manage LEM and DFR submissions, review timesheets, coordinate onboarding and travel, maintain project documentation, and communicate with employees and clients by phone and email. This role is site-based and not remote.

Qualifications

  • Minimum two years experience as a Site Administrator.
  • Proven experience with LEM processing, time entry, and timesheet administration.
  • Experience supporting a unionized and non-union environments.
  • Understanding of collective agreements and applying union requirements.
  • Proficient in Microsoft Office Suite; experience with Fieldglass, TRACK or Maximo is ideal.
  • Strong communication skills and attention to detail.
  • Ability to quickly learn new systems and processes.

  • Complete and submit Labour, Equipment, and Material (LEM) and Daily Force Report (DFR) accurately and on time.
  • Review timesheets, swipe reports, and workforce records for accuracy.
  • Support site-level payroll, onboarding, and employee inquiries.
  • Complete purchase requisitions and coordinate ordering of supplies and materials.
  • Maintain electronic filing systems and project documentation.
  • Assist with travel and accommodation bookings.
  • Provide administrative support to site and project teams.
  • Communicate regularly with employees, clients, and internal stakeholders by phone and email.
  • Perform other administrative duties as required.

Location: Fort McMurray - Site-Based and/or Fort McMurray Office
Employment Type: Full-Time, Permanent Non-Union
Hours: 40 hours per week, with additional hours during peak project and turnaround seasons

We are seeking an experienced Site Administrator to support our operations in the Fort McMurray region. This position requires a highly organized individual who thrives in a fast-paced industrial environment and can effectively support field operations, payroll processes, workforce administration, and project teams.

What You Will Do
  • Complete and submit Labour, Equipment, and Material (LEM) and Daily Force Report (DFR) accurately and on time.
  • Review timesheets, swipe reports, and workforce records for accuracy.
  • Support site-level payroll, onboarding, and employee inquiries.
  • Complete purchase requisitions and coordinate ordering of supplies and materials.
  • Maintain electronic filing systems and project documentation.
  • Assist with travel and accommodation bookings.

What You Will Bring

  • Experience supporting a unionized and non-union environments.
  • Understanding of collective agreements and the ability to learn and apply union requirements. Previous experience supporting the QCCC is considered a strong asset.
  • Must be proficient in Microsoft Office Suite. Experience withFieldglass, TRACK, Maximo, or similar workforce management systems is ideal.
  • Strong communication skills, must be comfortable with making and receiving phone calls.
  • Exceptional attention to detail and organizational skills.
  • Ability to quickly learn new systems and processes.

Please note: This role requires regular attendance at project sites in the Fort McMurray region and/or our Fort McMurray office and is not a remote position. As much notice as possible will be provided for changes in location and/or schedule based on project needs.
