About the job

Kent is looking for a Site Administrator to support the Kearl Project in Fort McKay, Alberta. This role is responsible for managing site-based administrative functions and payroll coordination to ensure accurate workforce records, timely payroll processing, and compliance with project and client requirements. The position plays a critical role in supporting site operations, workforce logistics, and reporting.

Skills and responsibilities

Responsibilities

  • Payroll Coordination
    • Collect, verify, and process timesheets for site personnel in alignment with project schedules and rotation cycles (14/7, 14/14).
    • Ensure accurate coding of hours, overtime, allowances, and project-specific pay rules.
    • Coordinate with HR and Payroll teams to ensure timely submission and issue resolution.
    • Maintain payroll records in compliance with company and client requirements.
  • Site Administration
    • Manage onboarding documentation including orientation records, certifications, and site access requirements.
    • Maintain personnel records, training matrices, and site tracking logs.
    • Coordinate travel logistics, camp accommodations, and rotation scheduling.
    • Provide administrative support to site leadership and department teams.
  • Reporting & Documentation
    • Generate weekly workforce reports including headcount, rotation tracking, and payroll summaries.
    • Maintain accurate filing systems for project documentation (digital and physical).
    • Support audit readiness for payroll and workforce compliance.
  • Interface & Coordination
    • Liaise with HR, Payroll, Project Controls, and Site Management teams.
    • Support workforce planning and mobilization activities.
    • Assist with resolving employee inquiries related to payroll, rotations, and site logistics.
Your knowledge/skills, education, and experience

Knowledge / Qualification / Training / Certification

  • Diploma or certificate in Business Administration, Accounting, or related field preferred.
  • 5+ years of experience in site administration and/or payroll coordination in industrial or construction environments, with a preference for candidates with FIFO project experience.
  • Strong knowledge of payroll systems, timekeeping processes, and workforce coordination.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Experience with workforce tracking systems and site logistics coordination.

    • Strong written and verbal communication skills.
    • Ability to work with cross-functional teams in a fast-paced site environment.
