Job summary

CBRE Group, Inc. is seeking an administrative support professional to back a Toronto office leasing sales team. The role focuses on gathering documents, coordinating listings, and supporting marketing and transaction activity.

Responsibilities include budgeting, MLS maintenance, document drafting, and liaison with research/client services. Proficiency in Microsoft Office and InDesign is expected; Real Estate experience is preferred.

Qualifications

  • Associates degree or equivalent from a 2-year college is required.
  • 3 years’ experience providing administrative support to a team of professionals preferred.
  • Experience in the Real Estate industry; commercial preferred.
  • Proficient with Microsoft Office Suite applications, Outlook and PowerPoint.
  • Experience using Adobe Creative Cloud, particularly InDesign.

Responsibilities

  • Gathers supporting documentation to complete deal voucher forms and PREC invoices while abiding by company accounting policies as well as provincial guidelines.
  • Manages the marketing budgets and listing activities of the team.
  • Works with sales professionals to maintain MLS postings and statuses.
  • Drafts and coordinates agreements and related documentation to support listing and transaction activity.
  • Updates and maintains databases, and updates marketing materials and templates in InDesign.
  • Coordinates with research and client services groups to prepare property data for marketing packages.
  • Performs market research and financial analysis (nice to have).
  • Coordinates on/offsite meetings and broker events and photography.
  • Other administrative duties such as printing and binding as required by executives.
  • Tracks team expenses.

The Opportunity

An industry leading Toronto team, specializing in office leasing, is actively seeking a proactive and resourceful individual to provide administrative, research and marketing support. This role is the backbone of the sales team and is highly valued.

Responsibilities include but are not limited to
  • Gathers supporting documentation to complete deal voucher forms and PREC invoices while abiding by company accounting policies as well as provincial guidelines. Liaison with the deals team.
  • Manages the marketing budgets and listing activities of the team.
  • Works with sales professionals to maintain MLS postings and statuses.
  • Drafts and coordinates agreements and related documentation to support listing and transaction activity – grow/nice to have.
  • Updates and maintains various information databases, and updates marketing materials and templates in InDesign.
  • Acts as a liaison with research and client services groups to coordinate the completion of marketing and various client-specific property data to incorporate into customized property information packages.
  • Financial analysis (nice to have) and market research.
  • Coordinates on/offsite meetings and broker events and photography.
  • Other administrative duties as required such as printing and binding as required by executives.
  • Track team expenses.
What We Require
  • Associate's degree (A.A.) or equivalent from 2-year college required.
  • 3 years’ experience providing administrative support to a team of professionals preferred.

  • Proficient with Microsoft Office Suite applications, special focus on Outlook and PowerPoint
