Job summary

CBRE Group, Inc. is seeking a resourceful administrative and marketing support professional to assist the sales team in achieving their business plan objectives. You will manage sales transactions, coordinate projects, prepare proposals and presentations, and handle confidential communications.

You will liaise with clients and internal departments, ensuring accurate information flow and timely delivery of marketing materials. The role is central to the sales team's efficiency and success.

Qualifications

  • Associate's degree (A.A.) or equivalent from 2-year college required; Bachelor's degree, preferred
  • Experience providing administrative support to a team of professionals; experience in Real Estate asset management is a plus
  • Real Estate License is not required but preferred
  • Proficient in Microsoft Office Suite
  • Experience using Adobe Creative Cloud, especially InDesign, internet research, and web publishing skills, preferred
  • Basic knowledge of financial terms and principles
  • Ability to manage conflicting priorities
  • Knowledge of accounting or business law is an asset

Responsibilities

  • Drafts contracts for clients at all stages of the trade process (listing, commission, representation, purchase & sale); ensures TRESA standards.
  • Oversees deal process—coordinates due diligence, deposits, risk forms, key dates, and lawyer info; updates internal timelines.
  • Communicates with clients about properties and inquiries.
  • Runs daily team meetings; updates project spreadsheets; prioritizes urgent projects and meets deadlines.
  • Coordinates Marketing Materials/Pitches; updates marketing content and delivers to graphics team.
  • Other duties may be assigned.

The Opportunity

CBRE is seeking a resourceful and dynamic individual to provide transactional, administrative and marketing support to the sales team's business plan objectives. You will be responsible for managing sales transactions, team project management, preparing proposals, presentations, and communication materials. Coordinates the distribution of internal and external marketing information. This role requires external communication with clients and within different departments of the company with emphasis on confidentiality.

This role is the backbone of the sales team and is highly valued.

Responsibilities include but are not limited to
  • Drafting contracts for clients in all stages of the trade process (listing agreements, commission agreements, representation agreements, agreements of purchase & sale, etc. Ensure TRESA standards are met)
  • Overseeing the deal process – coordinating collection of due diligence materials, deposits, sanctions and risk assessment forms, key dates summaries, collecting lawyer information, trade records, FINTRAC, updating internal spreadsheets to ensure we have correct deal timelines, sending out reminders to agents and/or clients on timelines.
  • Communicating with clients on the above items and addressing inquiries that come in on properties.
  • Responsible for running daily team meetings, updating the team’s project spreadsheet to ensure projects are moving along, correct prioritization of urgent projects, and meeting deadlines.
  • Coordination of Marketing Materials/Pitches – Updating the marketing materials, pitches, email marketing, and other required deliverables. Coordinate the delivery of marketing materials to the graphics team to update or create new pieces.
  • Other duties may be assigned.
What We Require
