You will manage sales transactions, coordinate projects, prepare proposals, presentations, and marketing materials, and liaise with clients while maintaining confidentiality. You will ensure timely distribution of internal and external marketing content, run daily team meetings, and support prioritization and timelines across departments, contributing to CBRE's trusted

Qualifications

  • Associate's degree (A.A.) or equivalent from 2-year college required; Bachelor's degree, preferred
  • Experience providing administrative support to a team of professionals; Real Estate industry experience is a plus
  • Proficient in Microsoft Office Suite; InDesign experience preferred

Responsibilities

  • Draft contracts for clients in all stages of the trade process; Ensure TARSA standards are met
  • Oversee the deal process; coordinate due diligence materials, deposits, risk forms and timelines
  • Communicate with clients on properties and inquiries; update internal spreadsheets
  • Run daily team meetings; manage project spreadsheets and prioritization of urgent tasks
  • Coordinate Marketing Materials and Pitches; update marketing collateral and coordinate with graphics team
  • Other duties may be assigned

The Opportunity

CBRE is seeking a resourceful and dynamic individual to provide transactional, administrative and marketing support to the sales team's business plan objectives. You will be responsible for managing sales transactions, team project management, preparing proposals, presentations, and communication materials. Coordinates the distribution of internal and external marketing information. This role requires external communication with clients and within different departments of the company with emphasis on confidentiality.

This role is the backbone of the sales team and is highly valued.

Responsibilities include but are not limited to
  • Drafting contracts for clients in all stages of the trade process (listing agreements, commission agreements, representation agreements, agreements of purchase & sale, etc. Ensure TRESA standards are met)
  • Overseeing the deal process – coordinating collection of due diligence materials, deposits, sanctions and risk assessment forms, key dates summaries, collecting lawyer information, trade records, FINTRAC, updating internal spreadsheets to ensure we have correct deal timelines, sending out reminders to agents and/or clients on timelines.
  • Communicating with clients on the above items and addressing inquiries that come in on properties.
  • Responsible for running daily team meetings, updating the team’s project spreadsheet to ensure projects are moving along, correct prioritization of urgent projects, and meeting deadlines.
  • Coordination of Marketing Materials/Pitches – Updating the marketing materials, pitches, email marketing, and other required deliverables. Coordinate the delivery of marketing materials to the graphics team to update or create new pieces.
  • Other duties may be assigned.
What We Require
  • Associate's degree (A.A.) or equivalent from 2-year college required; Bachelor's degree, preferred
  • Experience providing administrative support to a team of professionals, preferred; experience in the Real Estate industry as asset
  • Real Estate License is not required but preferred
  • Proficient in Microsoft Office Suite
  • Experience using Adobe Creative Cloud, particularly InDesign, internet research, and web publishing skills, preferred
  • Basic knowledge of financial terms and principles
  • Ability to determine and respond to conflicting priorities
  • Knowledge of accounting and/or business law, an asset
