Job description

Prompton Real Estate Corp. is an established real estate brokerage with offices in Downtown Toronto and North York. We are currently seeking a full-time Rental Coordinator to join our growing team of professionals. This role offers an opportunity to work with dynamic individuals in a fast-paced environment.

THE OPPORTUNITY

The ideal candidate will provide rental management support to ensure the efficient operation of the department. This position requires someone highly motivated, detail-oriented, and able to think creatively. A background in customer service, property management, or real estate is a definite asset.

RESPONSIBILITIES AND SKILLS

The candidate will be responsible for, but not limited to, the following:

  1. Drafting and organizing lease documents and owner information.
  2. Facilitating exchange of lease documentation with building management.
  3. Initiating tenant onboarding, including welcome emails and registration forms.
  4. Setting up new tenant accounts.
  5. Communicating with landlords during AGMs.
  6. Issuing condo fee notices and managing budget packages.
  7. Handling financial transactions and distributing cash statements.
  8. Managing tax document distribution and inquiries.
  9. Handling tenant repair requests and liaising with contractors.
  10. Facilitating contractor access and customer care in new buildings.
  11. Setting up utility, condo fee, and property tax payments.
  12. Providing repair quotes and notifying landlords of repairs.
  13. Managing administrative tasks, legal liaising, and documentation.
  14. Representing landlords in tribunals and eviction procedures.
  15. Conducting move-out inspections.
  16. Managing Tarion accounts and filings.
  17. Documenting property inspections with photos and checklists.
  18. Managing lease renewals, rent receipts, and notices.
  19. Preparing management contracts.
  20. Processing rent payments and updating spreadsheets.
  21. Managing insurance claims.
  22. Building relationships with tenants and property owners.
  23. Representing the company professionally.
  24. Identifying and pursuing new management opportunities.
EXPERIENCE AND BACKGROUND
  • Minimum 2 years’ experience in a similar role (customer service or real estate/property management preferred).
  • High school diploma or equivalent; postsecondary education in Business Administration, Property Management, Accounting, or Real Estate is a plus.
  • Experience with property management software like AppFolio, Buildium, or DoorLoop.
  • Self-motivated, energetic, and positive attitude.
  • Professionalism and discretion.
  • Excellent communication skills.
  • Strong organizational and time management skills.
  • Analytical and problem-solving skills.
  • Ability to read cash statements and proficiency in Excel.
  • Ability to work under pressure and meet deadlines.
  • Attention to detail.
  • Team player capable of working independently.

Hours are Monday to Friday, 9:00 a.m. to 5:30 p.m. Flexibility for overtime, weekends, holidays, and work at either Toronto or North York locations is required.
