Job summary

TLC Laser Eye Centre in Calgary is seeking a friendly receptionist for a permanent part-time role (about 20 hours/week). You will greet patients, route them to the waiting area, handle calls and appointment confirmations, and maintain medical records and clinic organization.

You will join a team that values excellent patient service, with benefits including insurance, paid time off, and in-house training. Fluency in English and comfort with technology are essential.

Qualifications

• Experience as receptionist/medical secretary/administrative assistant in a doctor's office is preferred.
• Excellent English communication is required.
• Comfort with computers and Microsoft 365; EMR knowledge is a plus.
• Strong organization, teamwork and ability to work with minimal supervision.
• Interest in delivering excellent patient service in a medical setting.

Responsibilities

• Greet patients warmly and direct them to the waiting area, ensuring new patients complete intake forms.
• Answer mail, clinic phone lines, and voicemails; call patients to confirm appointments.
• Update medical records and appointment software after each patient arrival or departure.
• Manage inventory and ensure clinic cleanliness and aesthetics.
• Support Risk Management by reporting safety concerns or incidents to management.

Your tasks at a glance

• You warmly welcome patients and direct them to the waiting room, ensuring that new patients complete the questionnaire to add to their files.
• You handle mail, clinic phone lines, and voicemails, and make sure to call patients to confirm their appointments.
• You are responsible for updating the medical records and appointments software after each patient's arrival and departure.
• You manage inventory and ensure the aesthetics and cleanliness of the clinic when needed.
• You support the organization’s Risk Management program by identifying and promptly reporting patient safety concerns, incidents, or potential risks to clinic management, to assist in the organization’s overall efforts to identify, report, and mitigate risks.

A clear view of your assets

• You have excellent communication skills in English.
• You have experience as a receptionist, medical secretary, or administrative assistant in a doctor's office AND/OR have strong customer service/patient care skills.
• You are comfortable with computers, technology, and Microsoft 365 (knowledge of EMR systems is an asset).
• You stand out for your organizational and collaborative skills as well as your ability to work with minimal supervision.
• You especially thrive in a fast-paced, dynamic environment, and when you work as part of a team.
• You have an interest in the medical field and have a passion for delivering excellent customer service.
• Schedule: You have flexible work availability Monday through Friday, day time, for approximately 2 to 3 days per week (minimum 20hrs/week).
