Job summary

Gimbel Eye Centre in Calgary, AB, is seeking a Medical Office Assistant - Receptionist to welcome patients, register them in our medical software, and manage appointments. You will maintain accurate electronic medical records, handle inquiries, and support a seamless clinic experience.

The role offers a team-oriented environment with opportunities across multiple Calgary locations. The position requires excellent English, comfort with MS 365, and an understanding of EMR systems; healthcare

Qualifications

  • Must have excellent English communication skills.
  • Proficient with computers and Microsoft 365.
  • Experience in health care is a plus.
  • Knowledge of EMR systems is an asset.
  • Capable of working in a fast-paced, team environment.

Responsibilities

  • You welcome patients and visitors with professionalism and provide exceptional customer service.
  • You register patients in our medical software and maintain accurate EMR records.
  • You schedule and confirm patient appointments and handle general inquiries.
  • You monitor patient flow and communicate wait times to ensure smooth clinic experience.
  • You process payments, prepare invoices, and balance cash at day end.
  • You notify Counsellors of cancellations or missed appointments for follow-up.
  • You maintain a clean reception area and provide admin support for daily operations.
  • You assist in reporting patient safety concerns to management under Risk Management initiatives.

Your tasks at a glance
  • You welcome patients and visitors with professionalism, deliver exceptional customer service, and create a positive first impression of the clinic.
  • You register patients using our medical software, verify demographic and appointment information, and maintain accurate electronic medical records.
  • You schedule, confirm, and manage patient appointments while responding to general inquiries and directing patients to the appropriate team members.
  • You monitor patient flow, communicate wait times, and support an efficient and seamless clinic experience.
  • You process patient payments, prepare invoices, and complete daily cash balancing and end-of-day closing procedures.
  • You notify Patient Counsellors of cancelled or missed appointments to support timely patient follow-up and continuity of care.
  • You maintain a clean, organized reception area and provide administrative support to ensure the smooth day-to-day operation of the clinic.
  • You support the organization’s Risk Management program by identifying and promptly reporting patient safety concerns, incidents, or potential risks to clinic management, to assist in the organization’s overall efforts to identify, report, and mitigate risks.
A clear view of your assets
  • You have excellent communication skills in English (verbal & written).
  • You are comfortable with computers, technology, and Microsoft 365 (knowledge of EMR systems is an asset).
  • Your experience in the health care field is considered an asset (ex: medical assistant, receptionist, medical secretary or scribe, administrative assistant, physiotherapy assistant, optometry assistant, orderly, dental assistant, pharmacy lab technician, sterilization assistant, animal health technician assistant, veterinary assistant, etc.).
  • You are looking for a fast-paced, dynamic work environment where your ability to work in a team and excel at multi-tasking will be an asset.
  • You stand out for your organizational, collaborative, autonomous, multitasking, and time management skills.
  • You are flexible and willing to travel to all three Calgary clinics (TLC Calgary SW, LASIK MD Calgary & Gimbel Eye Centre).
  • Schedule: You have flexibility to work Monday to Friday, between the hours of 7:30 AM - 5:00 PM.
