Job summary

Community Living Hamilton is seeking a Quality Assurance Coordinator to support Finance, Operations and Client Services with rigorous QA practices. The role emphasizes attention to detail, audits, and compliance with QA measures.

You will conduct audits of client finances, review logs, assist with AP/AR, and help improve processes while building strong relationships with leadership and external partners.

Qualifications

• College diploma in business administration, finance, or office administration.
• 2+ years’ administrative experience; nonprofit or social service background preferred.
• Experience providing entry-level finance support.
• Knowledge of bookkeeping and accounting for program records and reconciliation.
• Data entry experience.
• Proficient with Outlook and MS Office (Excel, Word, PowerPoint).
• Strong attention to detail and analytical skills.
• Excellent organization and communication, both written and verbal.
• Knowledge of quality improvement methodologies; experience with QA initiatives.
• Familiarity with Ministry of Children, Community and Social Services Required Organizational Practices for Client Safety.
• Process-oriented; able to adhere to policy or refer exceptions to senior management.
• Experience coaching employees/teams on QA adherence.
• French language fluency or other language fluency is an asset.

Responsibilities

• Conduct semi-annual third-party audits of client finances with recommendations.
• Complete monthly and quarterly reviews of client financial logs and bank statements.
• Assist with accounts payable and receivable processes.
• Audit client and program files for ISPs and QA compliance.
• Support record retention: organize, archive, and securely destroy files.
• Collect, analyze, and report data related to duties.
• Identify improvement opportunities and advise management.
• Identify and report risks impacting resources or service delivery.
• Contribute to strategic plans and organization-wide projects.
• Build relationships with Leadership, Client Services, Operations, and management.
• Develop positive relationships with external stakeholders.
• Promote an engaged workplace culture.
• Ensure compliance with legislation, policies, QA requirements, and OH&S standards.
• Participate in required training and professional development.
• Promote CLH Vision and Mission in workplace and community.
• Report workplace hazards and contribute to health and safety improvements.
• Maintain confidentiality of sensitive information.
