Job description

Role

Reporting to the Estimating Manager, the role of the Proposal Coordinator is to work collaboratively with the Estimating team on researching, writing, and organizing the creation of upcoming proposals and bids. The Proposal Coordinator will help develop and submit proposal packages by providing administrative assistance to a group of Estimators and the Estimating Manager, using work processing systems to create documents, prepare work plans, and organize proposal content. The Proposal Coordinator will oversee all proposal packages submitted ensuring both internal and client-specific standards are met. Additionally, the Proposal Coordinator will also facilitate proposal reviews and administration throughout the whole proposal development lifecycle.

Responsibilities
  • Coordinate upcoming proposal bids and information deliverables with Estimators and other department leads.
  • Manage and prioritize efforts to build a high-quality proposal submission on or before submission date.
  • Research, write, and organize information in a professional and credible manner.
  • Source, develop, and write proposal documents and other supporting documentation as required by client.
  • Follow client requirements and standards in proposal submission as stated within RFP/RFI and submitted via required method.
  • Plan and organize a library of information, documentation, and templates to be used in future proposal bids and projects.
  • Maintain consistency in proposal writing and proposal submission packages by following company policies or updating based on industry best practices.
Requirements
  • Post-secondary degree in a program with extensive writing such as journalism, communications, English, etc.
  • Previous presentation or reporting building experience preferred.
  • Excellent computer skills with Microsoft suite, Outlook, etc.
  • Organizational skills to manage varying deadlines and job-related pressures.
  • Previous experience developing proposals would be considered a strong asset.
  • Ability to bring new templates, ideas, etc. to proposal layout & presentation would be an asset.
  • Flexibility to work overtime hours on occasion, based on deadlines.
