Stacey Danley at Aplin has partnered with a growing residential property management company on the search for a Property Administrator. This opportunity is ideal for a service‑focused professional who enjoys working directly with residents, solving problems, and contributing to well‑managed, community‑oriented properties.

About the Role

Reporting to the Property Management team, the Property Administrator serves as a primary liaison between residents and property operations, ensuring a positive resident experience through proactive communication, issue resolution, and operational support. This role combines resident relations, administrative coordination, and on‑site property involvement.

Key Responsibilities
  • Act as a main point of contact for residents, responding to inquiries, concerns, and complaints with professionalism and empathy.
  • Conduct regular property walks to monitor cleanliness, identify lease or community standard issues, and address concerns proactively.
  • Track and manage resident communications and requests within property management software, ensuring accurate documentation.
  • Provide first‑level triage of maintenance requests and coordinate service work orders as required.
  • Interpret and apply Residential Tenancies regulations, maintaining current knowledge of policies and procedures.
  • Prepare and issue resident notices, including notices related to tenancy, arrears, warnings, and entry for maintenance or contractors.
  • Manage sensitive or difficult conversations, including arrears discussions, conflict resolution, and mediation when required.
  • Coordinate resident move‑ins and move‑outs, including inspections, documentation, meter readings, and resident orientation.
  • Support turnover activities during peak periods at month‑end and month‑start.
  • Assist with general property operations, including common area standards and occasional leasing support.
  • Prepare and distribute annual rental receipts and maintain accurate resident records.
Qualifications
  • 2+ years of administrative experience in the property management industry.
  • Valid Class 5 driver’s license and access to a reliable vehicle.
  • Strong proficiency with MS Office (Word, Excel, Outlook) and property management systems.
  • Excellent customer service skills with the ability to manage challenging conversations professionally.
  • Strong communication, mediation, and conflict‑resolution abilities.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Self‑motivated problem solver with sound judgment and decision‑making skills.
  • Team‑oriented with a collaborative approach to supporting property operations.
  • CPM designation (or candidacy) considered an asset.

Please note this is a full‑time permanent Monday‑Friday 8am‑4:30pm role. The occasional weekend will be required to assist with coordinating move‑in and move‑out activities.
