Job summary

Colliers is seeking a Property Administrator to support the Property Management team and manage day‑to‑day tenant inquiries and portfolio administration in Calgary. You will help maintain leases, coordinate supplier quotes, and assist with budget and reporting tasks, contributing to a high‑quality client experience.

Ideal candidates have 1–2 years of related work experience, strong MS Office skills, and a proactive, detail‑oriented approach.

Qualifications

  • 1‑2 years of related work experience.
  • Commercial real estate or property management experience is an asset.
  • Advanced skills in Microsoft Office applications.
  • Knowledge of Yardi is considered an asset.
  • Basic knowledge of accounting is an asset.
  • Strong communication skills, both oral and written.

Responsibilities

  • Respond to general day‑to‑day inquiries from tenants, service providers and contractors, directing issues as needed.
  • Track and distribute lease documents, update tenant contacts and prepare welcome packages.
  • Prepare notices and general correspondence for the Property Manager and aid operations with drafting notices.
  • Obtain supplier/contractor quotes and track contract renewal dates.
  • Issue, maintain and track purchase orders as required.
  • Assist with seasonal work contracts (landscaping, snow removal).
  • Distribute Welcome and Move‑Out Packages.
  • Attend staff meetings and contribute actively.
  • Review and code invoices; track tenant chargebacks with accounting.
  • Assist in budget preparation with the property manager.
  • Prepare monthly property management reports for clients.
  • Maintain the portfolio utility meter database and tenant consumption data.
  • Monitor accounts receivable and rent arrears, issue notifications.
  • Coordinate payroll chargebacks and verify head office accuracy.
  • Coordinate tenant/building signage with the Property Manager.
  • Assist with special projects and other duties as required.

About the Role

Colliers has an exciting opportunity for someone passionate about commercial property management. The Property Administrator will support the Property Management team and assist with the overall management of the real estate portfolio. Strong client relationships are meaningful to you. Your superior communication and organizational skills mean you can respond to tenant inquiries, exude professionalism, and deliver outstanding customer service.

Responsibilities
  • Respond to general day‑to‑day inquiries from tenants, service providers and contractors, and redirect specific issues to the appropriate staff member for action and resolution.
  • Track and distribute lease documents, update the tenant contact list, and prepare welcome packages for new tenants.
  • Prepare tenant notices and general correspondence for the Property Manager. Assist the operations department with drafting notices and other correspondence for the Property Manager’s approval.
  • Assist the Property Manager with obtaining supplier and contractor quotations and tracking contract renewal dates.
  • Issue, maintain and track purchase orders as required.
  • Assist with the preparation of seasonal work contracts (landscaping, snow removal, etc.).
  • Distribute Welcome and Move‑Out Packages.
  • Attend and actively participate in staff meetings.
  • Review and code invoices.
  • Track and coordinate all tenant chargebacks with accounting.
  • Work closely with the property manager to provide support with budget preparation.
  • Prepare monthly property management reports for clients as directed by the property manager.
  • Maintain the portfolio utility meter database and tenant utility consumption as needed.
  • Assist with monthly accounts receivable analysis, monitoring rental arrears, preparing notifications, demand, and default notices, and following up with tenants to ensure timely payment of rent.
  • Track Facility Services staff work hours monthly and verify the accuracy of payroll chargebacks from the head office, making any necessary corrections.
  • Coordinate all tenant and building signage with the Property Manager’s assistance.
  • Assist with the arrangement and coordination of special projects.
  • Other duties as required.
Qualifications
  • A minimum of 1‑2 years of related work experience.
  • Previous work experience in commercial real estate or property management is an asset.
  • Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Knowledge of Yardi is considered an asset.
  • Basic knowledge of accounting is an asset.
  • Strong communication skills, both oral and written.
  • Organizational and time‑management skills, able to work independently or in team environments.
  • Professionalism and excellent interpersonal skills.
  • Strong relationship‑building, proactive, results‑oriented and resourceful.
  • Ability to meet deadlines without compromising accuracy and attention to detail.
