Our client, an Ottawa-based general contractor with over 20 years of experience delivering industrial, commercial, recreational, and retail construction projects across Canada, is seeking a Project Coordinator. You will support planning, coordination, documentation, and execution of light industrial and large-format retail projects, reporting to the Project Manager.

• Minimum 3 years of construction experience in a coordinating role.
• Experience supporting light industrial or large retail projects.
• Strong knowledge of construction drawings, specs, contracts, and administration.
• Experience with RFIs, submittals, change orders and document control.

Responsibilities

• Assist Project Managers and Superintendents in planning and delivering projects.
• Maintain project documentation: contracts, RFIs, submittals, shop drawings, change orders, minutes.
• Track project schedules, milestones, and deliverables.
• Support procurement by obtaining quotes, issuing purchase orders, coordinating deliveries.
• Monitor project costs and change management processes.
• Assist with project reporting, forecasting, and progress updates.
• Coordinate permit applications, inspections, occupancy, and closeouts.
• Ensure documentation is maintained in project management systems.
• Support health and safety standards and procedures.
• Participate in site meetings and progress reviews.
• Assist with turnover, deficiency management and warranty administration.

Project Coordinator - Light Industrial/Retail - Ottawa

Position Summary

Our client is seeking a motivated and detail-oriented Project Coordinator to join their Ottawa team. Reporting to the Project Manager, the Project Coordinator will support the successful planning, coordination, documentation, and execution of construction projects, with a primary focus on light industrial facilities and large-format retail developments.

The ideal candidate will have at least 3 years of construction experience supporting commercial, industrial, or retail projects and will thrive in a fast-paced environment where communication, organisation, and teamwork are critical to project success.

Key Responsibilities

• Assist Project Managers and Site Superintendents in the planning, coordination, and delivery of construction projects.
• Maintain project documentation, including contracts, subcontracts, RFIs, submittals, shop drawings, change orders, and meeting minutes.
• Coordinate and track project schedules, milestones, and deliverables.
• Support procurement activities by obtaining quotations, issuing purchase orders, and coordinating material deliveries.
• Monitor project costs, commitments, and change management processes.
• Assist with project reporting, forecasting, and progress updates.
• Coordinate permit applications, inspections, occupancy requirements, and closeout documentation.
• Ensure all project documentation is maintained accurately within project management systems.
• Support the implementation of health and safety standards and company procedures.
• Participate in site meetings and progress reviews as required.
• Assist with project turnover, deficiency management, and warranty administration.

The Successful Applicant

Required Skills & Experience

• Minimum 3 years of construction experience in a Project Coordinator, Junior Project Manager, Site Coordinator, or similar role.
• Direct experience supporting light industrial and/or large retail construction projects.
• Post-secondary education in Construction Management, Civil Engineering Technology, Architectural Technology, Project Management, or a related discipline.
• Strong understanding of construction drawings, specifications, contracts, and project administration processes.
• Experience with RFIs, submittals, change orders, and document control.
• Proficiency with Microsoft Office Suite, particularly Excel, Outlook, Word, and Teams.
• Excellent organizational, communication, and time-management skills.
• Ability to manage multiple priorities in a deadline-driven environment.
• Valid Ontario driver's license and ability to travel to project sites.

Preferred

• Experience with Procore or similar construction management software.
• Experience working on Design-Build or Construction Management projects.
• Gold Seal, PMP, or related industry certifications (or working toward certification).
• Knowledge of Ontario Building Code and construction health and safety requirements.
