is currently seeking an experienced Project Coordinator (full-time, permanent) to join our team in Surrey, BC. Our Project Management Organization is a cross-border team that supports and collaborates to strategically provide for the business.

Reporting to the Project Director and working closely with Project Leadership and Construction Management, the Project Coordinator will assist in organizing and administering project-related documentation. They will support Project Managers by monitoring project plans, schedules, work hours, budgets, and expenditures, ensuring that project functions and deadlines are met promptly. Responsibilities also include organizing stakeholder meetings, planning and coordinating team meetings, and ensuring that project plan administration effectively supports field operations. The ideal candidate will have a strong background in civil construction.

Key Responsibilities
  • Uphold Forbes Bros. value of WE WORK SAFE & never compromise on safety in all aspects of our daily operations.
  • Support Project Managers and project teams in project delivery, including coordination, documentation, financial services, and communication.
  • Assist in transitioning projects from bid to execution phase and support schedule updates.
  • Help with project cost control, progress measurement, monthly forecasts, procurement, and subcontract management.
  • Review contractors' IFC and record drawings.
  • Assist with tendering, negotiating, and preparing trade contracts and purchase agreements.
  • Attend construction meetings as needed.
  • Support change notice expediting, approval, and execution.
  • Prepare and issue Field Review Reports, change notices, site instructions, and clarifications.
  • Coordinate review of contractors' record drawings with the consultant.
  • Ensure project compliance at completion, including final inspections.
  • Utilize construction cost management platforms (e.g., Viewpoint) for daily project cost management.
  • Prepare necessary project documents and ensure all required documentation is obtained.
  • Propose improvements to company processes and develop reporting tools and dashboards.
  • Update Project Managers on project status and issues affecting client relations.
  • Support Business Development proposals with project controls and execution plans.
  • Ensure project health, safety, and environmental standards are met.
  • Provide administrative support related to time-entry and onboarding.
  • Assist estimating with data gathering and analysis.
  • Perform other duties as assigned.
What We Are Looking For
  • Minimum of two (2) years' experience as a Project Coordinator with civil construction background.
  • Post-secondary education in Business Administration, Project/Construction Management, Engineering, or related field; Trade Certification is an asset.
  • Knowledge of construction office processes: project setup, subcontract management, change orders, RFIs, closeout.
  • Proficiency in Microsoft Office, especially Excel; Viewpoint software experience is an asset.
  • Strong communication skills, accuracy, and attention to detail.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Problem-solving skills and sound decision-making abilities.
  • Valid Driver's License and a five-year clean driving record.
  • Willingness to travel to field sites and flexible work hours to accommodate project schedules.
