  • Serve as the primary point of contact for the Dartmouth office reception area and manage courrier/mail logistics.
  • Support the Dartmouth Asbestos Laboratory, including chain of custody documentation and payments.
  • Act as a corporate liaison to support office operations and company initiatives.

Role Overview

Reporting to the Executive Assistant, the Project Administrator is responsible for maintaining and coordinating efficient administrative support services to ensure the smooth operation of the Dartmouth office. This individual will provide daily administrative support to multiple service lines, manage front desk reception duties, and assist with the day-to-day operations of the Dartmouth Asbestos Laboratory.

Your Role and Action
  • Ensure client deliverables are accurately formatted and quality control requirements have been completed, while coordinating the timely assembly and delivery of reports, proposals, and other client documentation.
  • Provide administrative support to project teams, including invoicing and billing, project setup and data entry, scheduling, meeting coordination, and general project administration.
  • Serve as the primary point of contact for the Dartmouth office reception area by greeting clients, contractors, and visitors, answering and directing incoming calls, and coordinating incoming and outgoing courier packages and mail.
  • Provide administrative support to the Dartmouth Asbestos including receiving samples, completing chain of custody (COC) documentation, processing payments, maintaining records, and assisting clients and contractors dropping off samples for laboratory analysis.
  • Act as a corporate liaison, supporting office operations and various company-wide initiatives while maintaining a professional and positive image of Pinchin.

  • Diploma or degree in a relevant field, along with experience in an administrative, office coordination, reception, or customer service role.
  • Strong communication, organizational, and multitasking skills, with the ability to manage competing priorities and deadlines while maintaining a high level of accuracy.
  • Professional, approachable, and customer-focused, with the ability to interact confidently with clients, contractors, visitors, and internal teams.
  • Experience supporting technical, environmental, laboratory, or consulting teams is considered an asset.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook), along with the ability to learn project management and laboratory information systems.
  • A valid driver’s license and access to a vehicle is considered an asset.
