Beauty Incubator Recruitment in Toronto is seeking a highly organized Patient Coordinator to guide patients from initial inquiry through consultation, scheduling, and post-op care. You will be the calm liaison ensuring each patient feels cared for and supported.

The role requires 3+ years in surgical coordination or clinic administration, 2+ years of sales, and strong tech skills with EMRs, scheduling tools, MS Office, and CRMs. This is a full-time on-site position with parking and PTO.

Beauty Incubator Recruitment is working with a leading name in aesthetic medicine, known for natural, refined results and gold-standard patient care. The clinic is growing and looking for a highly organized, polished, and client-focused Patient Coordinator to join their team.

As the first point of contact for their patients, youll play a pivotal part in their surgical journey, guiding them from initial inquiry through consultation, scheduling, and post-op care. Youll be the calm, confident liaison who ensures every patient feels cared for, understood, and supported.

Your Role at a Glance:

• Client Experience & Front Office Support
• Act as the first point of contact for patients in person, over the phone, and via email
• Handle all inquiries with professionalism, warmth, and discretion
• Manage consultation scheduling and provider calendars efficiently
• Track and nurture patient leads to drive bookings
• Maintain accurate patient records in our EMR/CRM systems
• Collaborate closely with clinical and aesthetics teams to ensure seamless care
• Oversee the full surgical scheduling process from initial consultation to OR day
• Coordinate pre-op appointments, lab work, consents, and clearances
• Ensure patients are fully informed with detailed pre- and post-op instructions
• Communicate regularly with patients throughout their surgical preparation and recovery
• Liaise with hospitals, anesthesiologists, and surgical centers to manage logistics
• Monitor and optimize surgical calendars and waitlists

About You:

• You come with 3+ years of experience in surgical coordination or clinic administration (experience in plastic surgery, dermatology or medical aesthetics is a strong asset)
• A minimum of 2 years of proven sales experience required.
• Exceptional communication and interpersonal skills
• Tech-savvy: comfortable with EMRs, scheduling tools, Microsoft Office, and CRM systems
• Detail-oriented with strong organizational and time-management skills
