Job summary

GraceMed Barrie Clinic is seeking a friendly Med-Spa Receptionist who delivers world-class patient service at the front desk. You will greet patients, answer calls and emails, help with scheduling, confirmations and reminders, process checkouts, payments and receipts, and keep patient charts organized in a polished, confidential environment.

You bring strong customer service, attention to detail, and a professional presence.

Qualifications

• Previous experience in a medical, aesthetic, dental, hospitality, or other customer service environment is an asset.
• Strong customer service skills and a genuine interest in helping people.
• Excellent attention to detail and accuracy.
• Strong communication and interpersonal skills.
• A positive attitude and professional, polished presentation.
• Team player who is also comfortable working independently.
• Ability to multitask, prioritize, and remain calm and organized in a busy environment.
• Proactive and helpful attitude, with the ability to recognize what needs to be done and take initiative.
• Strong computer skills and the ability to learn new systems quickly.
• Professionalism, reliability, and discretion when handling patient information.

Responsibilities

• Greeting patients and clients in a warm, professional, and welcoming manner.
• Answering incoming phone calls and responding to patient and client emails promptly and professionally.
• Assisting with appointment scheduling, confirmations, and reminders.
• Supporting the front desk team with daily administrative and patient coordination duties.
• Processing patient and client checkouts, payments, and receipts accurately.
• Assisting with the preparation of aesthetic treatment quotes and ensuring information is presented clearly and professionally.
• Maintaining accurate and organized patient charts, records, and filing systems.
• Assisting with scanning, filing, and other administrative documentation as required.
• Supporting the team with general clinic organization and administrative tasks.
• Anticipating the needs of patients, clients, and team members and proactively offering assistance.
• Maintaining a polished, professional, and organized front desk environment.
• Following clinic policies, procedures, and privacy requirements.
• Performing other duties as required to support the smooth operation of the clinic.
