Job summary

GraceMed Olde Oakville is seeking a part-time Medical Spa Receptionist for evenings and weekends to join our team at the Oakville clinic. You will welcome patients, check them in, answer calls, and share treatment information confidently, supporting sales and promotions.

Ideal candidates bring at least 2 years in health, beauty, or medical reception, with exceptional customer service. HIPAA-like privacy and EMR, OHIP billing experience are a plus.

Qualifications

• At least 2 years' related experience in health, beauty and wellness industry or medical receptionist.
• Previous experience in private medical, dental or optometry practice preferred.
• Exceptional customer service skills.
• Experience with point-of-sale transactions is an asset.
• Experience with provincial and insurance billings would be viewed favorably.
• OHIP billing skills and confidentiality of patient records.
• Proficiency with web-based email, Microsoft Office and EMR is desired.

Responsibilities

• Welcoming and checking in patients upon arrival with world-class service.
• Answering calls and messages, providing information relevant to inquiries.
• Knowledge of procedures and products, sharing treatment information professionally.
• Supporting marketing initiatives and promotions with patients.
• Processing patients' payments and scheduling recurring and follow-up appointments.
• Conducting confirmation of appointment and retention phone calls.
• Checking and responding to clinic emails and voice messages.
• Addressing patients' questions and concerns about treatments and products.
• Escalating concerns to the Clinic Manager as needed.
• Providing feedback to improve patient experience.
• Assisting with inventory management and supply ordering.
• Other responsibilities as required.

What you’ll do:

• Welcoming and checking in patients upon their arrival to the clinic and providing world-class service to ensure patient comfort.
• Answering calls and responding to messages, providing information relevant to the inquiry.
• Knowledge of procedures and products, and sharing treatment information with patients professionally and confidently.
• Actively sharing marketing initiatives and promotions with patients to provide an excellent patient experience with full service and sales support.
• Processing patients’ payments and scheduling re-occurring and follow up appointments.
• Conducting confirmation of appointment and retention phone calls.
• Checking and responding to clinic emails and voice messages.
• Address patients' questions and concerns about treatments and products.
• Responds and resolves issues and concerns with patient and, escalating concerns to the Clinic Manager, as needed.
• Providing feedback and suggestions to Clinic Manager to improve Patient Experience.
• Supporting with inventory management and supply ordering.
• Other responsibilities, as required.

What you will bring along:

To excel in this role, you should be dedicated to patient care and service, with a preference for experience or a strong interest in the integrative medical field. The ideal candidate will have specialized healthcare experience, preferably in dermatology or a related area, and possess OHIP billing skills.

• At least 2 years' related experience in health, beauty and wellness industry or medical receptionist.
• Previous experience working in a private medical, dental or optometry practice, and/or beauty/skincare sales is preferred.
• Exceptional customer service skills.
• Experience with point-of-sale transactions is an asset.
• Experience with provincial and insurance billings would be viewed favorably.
• Open and honest communication and strong relationship- building skills.
• Dedication to maintaining confidentiality of all patient records.
• Experience working with web-based email applications, Microsoft Office and Electronic Medical Recordsis desired.

Rate of Pay: $19-$23/hour
