Job summary

Cooper Equipment Rentals Limited is seeking a motivated team member to coordinate parts flow, dispatch technicians, and manage service scheduling for our fleet. You will maintain inventories, process returns and warranties, and ensure accurate work orders and documentation.

Ideal candidates have 2+ years in customer service or construction equipment, strong organizational and communication skills, and proficiency in Microsoft Office.

Qualifications

  • Minimum of 2 years of experience in customer service, retail, or construction equipment industry; rental industry experience is an asset.
  • High school diploma or equivalent required; post-secondary education in business, logistics, or related field is an advantage.
  • Knowledge of construction or heavy equipment parts, service procedures, and maintenance practices is an asset.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills, with the ability to interact professionally with customers, technicians, and vendors.
  • Proficiency with Microsoft Office (Word, Excel, Outlook); experience with service or inventory management systems (Systematics or similar) is an asset.
  • Strong problem-solving abilities with attention to detail in order tracking, scheduling, and documentation.
  • Ability to work independently and collaboratively in a team environment.
  • Flexibility to adapt to shifting priorities and urgent service needs.
  • Commitment to workplace safety and adherence to company standards.

Responsibilities

  • Coordinate ordering, receiving, stocking, transfer, and delivery of parts for timely repairs.
  • Dispatch field technicians to service calls.
  • Maintain shop supplies and monitor inventory; process returns, exchanges, and warranty claims.
  • Open, update, and close work orders with accurate documentation.
  • Schedule and track equipment service and maintenance balancing technician availability and fleet needs.
  • Prepare quotes and estimates for repairs and preventative maintenance.
  • Communicate with customers and internal teams about timelines, status, and parts availability.
  • Match packing slips to receivers and invoices for accounts payable.
  • Work with Service and Shop teams to prioritize work orders and minimize downtime.
  • Maintain records and reports on service schedules, equipment history, and parts usage.
  • Support compliance with company policies, warranty processes, and safety standards.
  • Contribute to a positive, team-oriented work environment.

What You’ll Be Doing – Duties and Responsibilities
