- The candidate will be responsible for recruiting and supervising staff, including assigning work, developing and evaluating performance plans, approving leave requests, responding to grievances, and initiating disciplinary processes.
- The candidate will be responsible for developing, implementing, and updating the office administrative framework to ensure comprehensive administrative services are provided to program staff while offering guidance and solutions for administrative issues.
- The candidate will be responsible for analyzing budget forecasts and recommending options to maximize the effective use of resources.
- The candidate will be responsible for developing financial management reports and spreadsheets to track and monitor budgets, commitments, and expenditures while ensuring information accuracy and resolving variance issues.
- The candidate will be responsible for recommending budget reallocations, transfers, and adjustments to balance financial limitations with competing needs across program areas.
- The candidate will be responsible for supervising staff who process accounts payable and accounts receivable documents, as well as petty cash transactions, while ensuring compliance with government and ministry financial policies and procedures.
- The candidate will be responsible for coordinating contract administration activities and ensuring compliance with applicable policies.
- The candidate will be responsible for supporting frontline staff by developing a district structure that responds to customer and client needs and improves service effectiveness.
- The candidate will be responsible for coordinating and overseeing office records and documentation management, including establishing and maintaining the ARCS/ORCS records management system for storage, retrieval, and destruction of records. The candidate may also coordinate Freedom of Information and Protection of Privacy and litigation requests.
- The candidate will be responsible for providing administrative support for human resources, payroll, and leave management matters, including consulting with appropriate agencies such as the BC Public Service Agency, submitting required paperwork, and verifying information in Time and Leave or PeopleSoft.
- The candidate will be responsible for identifying asset requirements, recommending purchases, and coordinating the acquisition, transfer, and disposal of office supplies, computers, software, and telephones for the office and other programs or agencies such as BC Timber Sales.
- The candidate will be responsible for acting as a Project Manager for administrative projects.
- The candidate will be responsible for undertaking facilities planning activities and providing recommendations on space requirements, office renovations, relocations, maintenance, and services while analyzing costs, benefits, and risks for Ministry facilities staff, tenants, and the property manager.
- The candidate will be responsible for acting as the office systems contact by arranging user access and IDs, performing routine systems troubleshooting, recommending information requirements, and approving system access when authorized.
- The candidate will be responsible for recommending options related to the maintenance, acquisition, and disposal of fleet vehicles and field equipment.
- The candidate must act as the office representative during the development and implementation of regional administrative policies and procedures.
- The candidate will be responsible for preparing and overseeing the preparation of reports, spreadsheets, briefing notes, and other documents using desktop tools such as Word, Excel, PowerPoint, and Outlook, while drafting responses to routine correspondence.
- The candidate will be responsible for coordinating mandatory and non-mandatory training for staff and developing contracts for course delivery as required.
- The candidate will be responsible for providing human resource advice and support, including recruitment and selection processes, performance management, labour and employee relations, case and leave management, occupational health and safety, and benefits administration.
- The candidate must manage the district tenancy program and oversee administrative responsibilities related to staff housing.
Job Requirements
- The candidate must have a diploma along with at least six (6) months of related experience.
- The candidate must have a certificate or completed relevant coursework along with one (1) year of related experience.
- The candidate must have secondary school graduation or a GED along with two (2) years of related experience.
- The candidate will be considered if they possess a combination of education and experience that is equivalent to the stated requirements.
- The candidate must have experience providing administrative and financial support services to a team or group of staff.
- The candidate must have experience leading others.
- The candidate must have proficiency using Microsoft desktop applications, including Word, Excel, PowerPoint, and Outlook.
- Preference will be given to candidates with experience leading administrative and/or financial support staff.
- Preference will be given to candidates with a combination of three (3) years of related experience, education, and/or training, such as clerical or administrative support.
- Preference will be given to candidates with experience using natural resource applications.
- The candidate must be located in British Columbia at the time of employment.
