About the Role
The Office Manager supports the dailyoperations of Sphere Media’s Toronto office and helps ensure that officeservices, facilities, administrative processes, and internal coordination runsmoothly.
This role requires strong organizationaland communication skills, discretion, and the ability to work effectively withcorporate, production, creative, HR, IT, finance, and external partners in a fast-paced media environment.
KeyResponsibilities
- Keep the Toronto officeorganized, welcoming, functional, and well maintained on a daily basis,including the kitchen and common spaces.
- Order and manage officesupplies, equipment, furniture, and other workplace needs.
- Manage couriers, deliveries,guest reception, catering, conference room bookings, and the day-to-day use ofmeeting spaces.
- Manage and maintain officestorage spaces, ensuring they remain organized, accessible, and functional.
- Support the implementation ofsimple, efficient office processes and administrative best practices.
- Help ensure the office operatesin compliance with applicable health, safety, and workplace requirements.
- Organize employee’s travel,including transportation, accommodations and itineraries.
- Prepare and process expensereports and invoices.
- Coordinate with vendors,service providers, and landlords as required.
- Plan and organize internalevents, screenings, and other company gatherings.
- Act as a liaison with HR and ITteams for onboarding, equipment coordination, access needs, and generalemployee support.
Qualificationsand Skills
- Relevant experience in officemanagement, administration, operations coordination, or a similar role.
- Hands-on attitude andwillingness to support practical office needs, including moving boxes, settingup spaces, and helping with day-to-day workplace tasks.
- Excellent organizational skillsand the ability to manage multiple priorities at once.
- Strong communication skills anda professional, service-oriented approach.
- Ability to work with discretionand good judgment in a fast-paced environment.
- Comfort working with vendors,invoices, expense reports, travel bookings, office supplies, and operationalfollow-up.
- Experience in media,television, production, creative industries, or a related environment is anasset.
- Proficiency with MicrosoftOffice tools and general comfort with shared digital systems.
