We're looking for an Operations Associate who’ll treat our office like it's theirs to look after. You spot what needs attention, take care of it, and don't wait to be asked. You've got a sharp eye for detail, communicate clearly and confidently, and enjoy both the front-of-house energy, running events and the behind-the-scenes work of making it happen.
WHY YOU’R RIGHT FOR THIS OPPORTUNITY
Required
- You take ownership and run with it; when you see something that needs doing, you do it rather than waiting to be told
- You take pride in being the ray of sunshine in every room you enter
- You are a neat freak and can’t stand being in a messy space. Something has to be done about it
- You’re a creative, organized, and proactive thinker with excellent interpersonal skills
- You are constantly in motion, can handle situations with tenacity, and can kick-start things on your own
- You want to be part of a collaborative environment that includes the operations team, senior leadership, the marketing team, and other team members, striving to make our office environment better
- You’re enthusiastic about organizing office events, including team meetings, celebrations, and seasonal activities
- You’re detail-oriented and can provide administrative support, including inventory management, document preparation, data entry, support hiring efforts, etc.
- You are good at building relationships and can liaise with building management, maintenance, and vendors to coordinate repairs
- You have an insatiable appetite for learning and a knack for adapting to any situation
- You’re genuinely excited to help out wherever you’re needed, even outside your core responsibilities; no task is too small for you to own
A SNEAK PEAK AT WHAT YOU'LL BE DOING:
- Owning the day-to-day of the office, making sure the space, supplies, and equipment are functioning well, clean, and maintained, and proactively catching and fixing issues before they become problems
- Supporting front desk responsibilities by greeting and assisting visitors and ensuring a welcoming and wonderful office experience
- Looking after the team’s everyday needs; supplies, comfort, food orders as needed, and anything else that keeps people happy and taken care of
- Driving employee celebrations program by collaborating with multiple teams to execute in a timely manner
- Jamming with operations, marketing, senior leadership, and other team members on ways to make the office a better place to be and for seasonal events
- Pitching in wherever the team needs an extra hand, even outside your usual scope; if you see it, you own it
- Actively engaging in feedback sessions, both giving and receiving feedback to refine and enhance event success
WHAT YOU BRING TO THE TABLE:
- Experience in office management, administration, OR equivalent
- A strong sense of ownership and accountability; you don’t wait for direction, you spot what’s needed and take care of it
- The natural ability to be personable, warm, and build strong relationships
- Strong organizational skills and diligence in having a self-starter mentality and a strong work ethic
- A take-charge attitude with an ability to self-manage tasks and deliverables
- Strong verbal and written communication skills, executed among various digital channels and attention to detail
- A willingness to roll up your sleeves and help out in other areas beyond the job description whenever the team needs it
- An eye for design and aesthetics
- A collaborative team player who excels in group discussions and values feedback
- A growth mindset, enthusiastic about learning and development
