Position Overview
Reporting to the Senior Operations Manager, the Office Manager supports the day-to-day administrative and office operations for the FMB, acting as a key support role.
Responsibilities include coordinating office activities, ensuring health regulations compliance, managing facility support, handling general office services, and troubleshooting. The Office Manager also acts as a backup to the Senior Operations Manager.
Accountabilities
Leadership
- Builds strong relationships across all Business Lines.
- Identifies administrative issues and assesses risks, proposing proactive solutions to the Senior Operations Manager.
- Supports team performance through mentoring and evaluations of Administrative Assistants.
- Oversees third-party contractors and suppliers to ensure service quality.
- Promotes an ethical, integrity-driven, and socially responsible workplace culture.
- Assists the Senior Operations Manager with administrative support, office services, health and safety, and facilities management.
- Provides leadership to motivate administrative staff aligned with FMB’s vision and mission.
- Conducts internal training on policies and operational procedures.
- Chairs the Social and Cultural Committee, managing its budget.
Administrative
- Supports office operations under the Senior Operations Manager’s guidance.
- Prepares, reviews, and prioritizes important documents.
- Coordinates meetings, including logistics and catering, supporting Board of Directors when needed.
- Ensures consistency in documents and processes across business lines.
- Supports onboarding of new employees.
- Recommends efficiency improvements.
- Manages procurement and inventory of office supplies.
- Assists with workshops, trade shows, projects, and events.
- Oversees supplies for FMB events and supports employee travel arrangements.
Facility/Property Management
- Coordinates office moves and assignments.
- Assists with security, including keys, codes, and parking.
- Ensures safety standards and communicates safety policies.
- Collaborates with HR and IT on office equipment and space management.
- Manages vendor relationships, ensuring timely invoicing and payments.
The Office Manager performs other duties as assigned.
Qualifications
- Post-secondary education in business administration or equivalent.
- Office administration diploma or equivalent is preferred.
- Minimum 3 years’ experience in a supervisory administrative role, leading teams, preferably with remote or multi-site operations.
- Experience contracting external vendors and consultants.
- First aid certification is an asset.
- Advanced proficiency in Microsoft Office Suite.
- Experience with data management systems is a plus.
- Experience working with Indigenous governments, organizations, or communities is an asset.
- Understanding and appreciation of Indigenous culture and history.
- Willingness to pursue ongoing education, including Indigenous studies.
- Exceptional interpersonal skills, with excellent oral and written communication in English; French is an asset.
Working Conditions
- Based in Ottawa, ON.
- Occasional national travel required.
