THE ROLE

Our team is looking for an Office Administrator to join Vancouver HQ! As the Office Administrator, you will be responsible for the day-to-day operations of the office, providing consistent and positive support to internal and external stakeholders.

Duties/Responsibilities:
  • Greet all clients and visitors, both in person and over the phone.
  • Organize travel arrangements using our travel platform, Melon; This includes managing travel budget, booking flights, organizing accommodation, and preparing appropriate itineraries as required.
  • Act as a first point of contact for all corporate office related enquiries, liaise with external vendors including property, security, and cleaning services.
  • Maintain office inventory with necessary equipment and supplies, ensuring all areas throughout the office are well-stocked and well-maintained; managing purchases or repairs as necessary.
  • Regularly handle confidential material and information and exercise discretion in doing so.
  • Ensure the tidiness of the office environment (common areas, meeting rooms, and kitchen facilities) to increase efficiency and productivity.
  • Be the spokesperson for all general communication in the office.
  • Oversee and manage other office services (ex. corporate phones, travel apartment, etc.).
Skills/Experience/Knowledge needed:
  • 2+ years of experience in a similar role.
  • Highly organized and resourceful, with effective time management and organizational skills.
  • Effective communication skills with an ability to work and adapt in a fast-paced, cross-functional environment.
  • Strong work ethic with a willingness to get things done, give extra effort, and be flexible to the needs of a growing business.
  • Ability to establish and maintain effective relationships and networks with a range of stakeholders.
  • Experience in using and troubleshooting issues with online technology including videoconferencing and audiovisual systems.
  • Ability to be in office 5 days a week is mandatory.
