Role Description

The Manager, Security & Life Safety will be responsible for security and safety of the property, employees, tenants, contractors and visitors. The role involves the management of property security services, maintaining professional standards while delivering an exceptional customer experience. The Manager will ensure an effective security program and protection strategy adhering to best practices and QuadReal Property Group corporate policy. The Manager is responsible for the oversight of a contracted Senior Supervisor. Coordination of departmental management meetings, improving and upgrading security equipment and systems, maintaining standing orders, policies and guidelines. Inspect and audit property security programs and oversight of vendor relationships. This an onsite role based out of Bayview Village Shopping Centre, Toronto, ON.

Major Responsibilities

Life Safety

  • Plan, schedule and execute annual Fire Drills.
  • Plan, schedule and execute monthly testing.
  • Schedule and assist with delivering training for tenants and employees using a 3rd party instructor. Conduct an annual review and update of the Bayview Village Shopping Centre Fire Safety and Evacuation Plan
  • Maintain and update all fire prevention awareness and emergency procedures information to include but not limited to information contained in the Tenant Information Manual.
  • Arrange and/or deliver emergency procedures and security awareness information sessions and seminars.
  • Participate with the Bayview Village Joint Health and Safety Committee to include attending meetings, conducting inspections and workplace accident investigations.

Physical Security

  • Ensure security systems to include but not limited to access control, CCTV, intercom, emergency notification, voice recording, guard patrol and key management are maintained. This will include scheduling and/or facilitating system preventative maintenance and upgrades.
  • Maintain the integrity of the key system to a standard that must be followed in respect to the control and management of keys and locks.
  • Apply Crime Prevention Through Environmental Design principles and ensure the security program proactively enforces the provisions of the Trespass to Property Activity to curb criminal and prohibited activity.

Emergency Response and Incident Management

  • Serve as a primary decision maker during emergency situations.
  • Provide advice and direction to property management during the initial stages of security/safety-related crisis or potentially significant incidents.
  • Assess the criticality and impact of incidents using the Emergency Management Plan, working closely with other stakeholders and act to mitigate business impact.
  • Serve as a principle point of contact with public safety agencies attending the property in response to emergency situations.
  • Responsible for strategic deployment of security personnel and oversight of major incidents that occur.
  • Initiate communications with building personnel and property management at the on-set of emergencies, major incidents and the disruption of normal property operations.
  • Conduct post emergency event reviews after emergency situations and major incidents to ensure responses occur consistent with Standing Orders and Emergency Response Plans.
  • Participate and assist with tabletop and simulation training exercises.
  • Review and update Emergency Procedures ensuring they remain relevant and address operational realities.
  • Ensure the security posture at the property is reflective of the current threat level faced.

Management Oversight

  • Review and oversee training program standards, ensuring all staff are properly trained, aligned with QuadReal Property Group corporate policy and Standing Orders.
  • Ensure the quality and skillset of the labour force and processes which guide the execution of work properly address the threats faced to be able to deliver the required level of service.
  • Prepare and/or assist with RFPs for security manpower, security technology and other program initiatives, as well as oversight of security providers to ensure services are delivered as per the scope detailed in service agreements.
  • Analyze incident data to highlight common occurrences and trends, as well as recommending solutions that assist with crime reduction, occupant safety and fire prevention.
  • Review daily incident reports and report any property damage, slip/trip & falls or other incidents to insurer as required. Point of contact for assigned insurance adjustor(s).
  • Maintain a comprehensive suite of Security Standing Orders to include security policies, protocols and procedures, which align not only with QuadReal Property Group corporate policies, but also established best practices that addresses the specific needs of the property. This includes crisis management and emergency response procedures.
  • Manage or assist with security related projects, operating and capital budget preparation, submit business cases providing solutions for complicated security issues and overseeing security related investigations.
  • Develop and implement security plans for scheduled events to meet property objectives, identify threats and vulnerabilities using intelligence information provided from public and private sector stakeholders, as well as other sources.
  • Maintain proactive and positive relationships with tenants to include the use of relationship management tool.
  • Process invoices, manage budgets and monitor departmental expenditures.

Qualifications

  • 5+ years of related Property Management experience.
  • Post-secondary courses in security management and/or security industry accreditations an asset.
  • Relationship Skills – Ability to communicate effectively and professionally, both oral and written with owners, tenants and team members; ability to develop and sustain cooperative working relationships; professional phone manner; mature and self-motivated team player with good conflict-resolution skills; committed to personal growth and integrity aligned with QuadReal’s objectives.
  • Organizational/Multi-Task Skills – Ability to allocate one’s time effectively and manage tight deadlines; ability to work under pressure and achieve quality results; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes; results oriented, detail oriented and accurate.
  • Decision Making Skills – Able to resolve problems using facts and sound reasoning; able to achieve goals using a strategic approach; proven innovation with a willingness to manage and adapt to change
  • Computer Skills – Intermediate to advanced skills in MS Word, Excel, Microsoft office and e-mail.
  • A fundamental knowledge of state-of-the-art security technology such as alarm and access control, CCTV and communications technologies.
