The ideal candidate has 2–3 years in HR/payroll, strong knowledge of HRIS systems (ADP WFN, UKG Ready), and excellent communication in English. Immediate availability is preferred and confidentiality is essential.

Job description

Position Scope

We are looking for a proactive, detail-oriented, and highly organized HR Coordinator to join our team. This role will be responsible for managing payroll functions, supporting HR operations, maintaining accurate employee records, and ensuring compliance with employment standards. The ideal candidate is professional, adaptable, and possesses a strong sense of ownership and responsibility.

Key Responsibilities:
  • Process bi-weekly payroll for all employees, ensuring accuracy, compliance with employment regulations, and adherence to internal policies.
  • Maintain and update payroll records, including employee deductions, benefits, and tax filings.
  • Perform regular payroll audits and reconciliations to ensure data accuracy and promptly resolve any discrepancies.
  • Work closely with the HR Manager to ensure smooth and efficient payroll and HR operations.
  • Administer employee benefits programs and assist employees with related inquiries.
  • Prepare and analyze a variety of HR reports, including headcount, retention, and organizational charts.
  • Provide support in a full spectrum of Human Resources functions, including recruitment & selection, compensation & benefits administration, employee relations & communications, training, etc.
  • Responsible for employee life cycle management within the HRIS, including staff records, employment contracts, onboarding, and offboarding processes.
  • Respond promptly to employee inquiries, escalating issues when necessary.
  • Support business visa application preparation as needed.
  • Support the implementation and administration of HR policies and procedures.
  • Perform other duties as assigned.
Qualifications:
  • Degree or diploma in Human Resources, Business Administration, or a related field.
  • 2–3 years of hands-on experience in HR and payroll administration.
  • Experience working with HRIS platforms; working knowledge of ADP Workforce Now and UKG Ready is a strong asset.
  • Previous experience in HRIS implementation and configuration will be considered as an asset.
  • Excellent Knowledge in Microsoft Applications, including Word, Excel, PowerPoint and Visio.
  • Exceptional attention to detail, with the ability to multi-task and handle confidential information with discretion.
  • Demonstrates a high level of integrity, strong work ethic, and professionalism.
  • A collaborative team player who is cheerful, stable, well-organized, detail-oriented, and self-motivated.
  • Excellent verbal and written communication skills in English; proficiency in Cantonese or Mandarin is an asset.
  • Strong problem-solving skills with a proactive, adaptable, and solution-oriented mindset.
  • Immediate availability is preferred.
