Job summary

Kensington Health in Downtown Toronto is seeking a Payroll and Benefits Coordinator to manage payroll and benefits for the Kensington Health team, reporting to the Manager of Payroll Compensation and Benefits. Position Title: Payroll and Benefits Coordinator

Status: Permanent

Position Overview/Summary:

The Payroll and Benefits Coordinator manages activities relating to Kensington Health's payroll and benefits. The role of the Payroll and Benefits Coordinator is to report and process payroll data for the Kensington team members, oversee the administration of benefits and multi retirement pension plan such as HOOPP, Manulife OLTCA Registered Retirement Plan and Nursing Home Related Industries Pension Plan.

The Payroll and Benefits Coordinator is responsible to update and maintain accurate employee information/data on the HRMS and all other payroll, benefits and pension related platforms.

The incumbent is responsible for reconciling bi-weekly, monthly and year-end payroll reports, producing related departmental reports and facilitate various Ministry of Health staffing reports which supports funding. In addition, the Payroll and Benefits Coordinator is the primary contact for Payroll, benefits and pension, and assist in development and implementation of programs relating to compensation, benefits and pension services.

Responsibilities:
  • Process enrollment and termination of employees in the payroll system.
  • Set up new employees, terminate, and update records on group benefits and pension plans.
  • Maintain and audit existing employee records and protect the organization's value by keeping information confidential.
  • Train new employees on employee self-service applications and other payroll platforms.
  • Main point of contact for employee inquiries regarding payroll, benefits, and pension.
  • Process Records of Employment.
  • Apply legislation and collective agreement provisions relating to salary administration, employee benefits, and pension entitlement.
  • Compliance with related regulations outlined in the Employment Standards Act, Occupational Health and Safety Standards, and Canada Revenue Tax Regulations.
  • Responsible for creating, testing, and troubleshooting new earning codes and deductions.
  • Communicate changes to the management team and employees.
  • Participate in the management of payroll and scheduling systems to maintain financial accuracy and employee satisfaction.
  • Process bi-weekly payroll in a timely and accurate manner for all entities.
  • Validate, review, and reconcile timecards and ensure proper approvals are in place and data integrity is maintained.
  • Process ad hoc and off-cycle payments, including incentives, settlement payments, and other special payments.
  • Reconcile and provide Finance with bi-weekly payroll journal entries.
  • Provide month-end financial reporting to Finance and submit monthly remittances for pension contributions, WSIB, EHT, union dues, and benefit premiums.
  • Process year-end cycle, including preparation of T4 statements, filing of T4 Summary, EHT and WSIB reconciliation, HOOPP member data collection, and pension adjustments.
  • Responsible for working safely in compliance with accepted safe work practices, procedures and legislated health and safety standards. Employees must: use and wear the equipment, protective devices and personal protective equipment as required; report hazards, accidents, and the absence of or defect in any equipment or protective device; attend all required health and safety training; and follow all established safe work procedures.

Required Knowledge and Experience:
  • Minimum of 2 years of relevant experience in payroll and benefit administration.
  • Experience in related Payroll & HRMS platforms (UKG, Ultipro and Kronos).
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint).
  • General knowledge of human resource best practices.
  • Experience in working in Health Care settings with multi-union groups is highly preferred.
Required Professional Designation/Certificate:
  • College diploma in business administration, accounting, or a similar field.
  • Canadian Payroll Association Certification.
