As a Fleet Service Advisor, you will coordinate the repair process from vehicle arrival through delivery while ensuring an exceptional customer experience. Working closely with the Service Manager, technicians, and fleet customers, you will help maximize shop productivity, maintain workflow, and ensure repairs are completed accurately and on schedule.
Key Responsibilities
Customer Service & Fleet Communication
- Serve as the primary point of contact for fleet customers throughout the repair process.
- Build strong relationships through proactive communication, timely updates, and professional service.
- Explain repair recommendations, maintenance requirements, timelines, and costs clearly and confidently.
- Handle incoming calls, emails, and customer inquiries promptly and professionally.
- Identify opportunities to improve customer satisfaction and strengthen long-term fleet relationships.
Service Coordination
- Open, build, and manage repair orders.
- Schedule repairs and coordinate workflow with technicians and shop leadership.
- Monitor repair progress and communicate any changes to customers.
- Verify warranty coverage, service campaigns, customer history, and payment arrangements.
- Maintain accurate service schedules and ensure repair information is updated in real time.
Workflow & Shop Performance
- Help drive labour productivity and shop efficiency through effective scheduling and coordination.
- Review and manage Work-in-Progress (WIP) daily to support timely invoicing and performance targets.
- Monitor repair status to ensure work is completed accurately and on schedule.
- Collaborate with technicians and the Service Manager to resolve delays and improve workflow.
- Support continuous improvement initiatives that enhance shop operations and customer experience.
Technical Support
- Review technician inspection reports and recommendations for completeness and accuracy.
- Prepare estimates and repair quotations.
- Source parts and coordinate with suppliers as required.
- Utilize available technical resources and software to identify maintenance requirements and support repair recommendations.
Requirements
What You Bring
Experience
- Minimum 4 years of experience in a Service Advisor, Fleet Service Advisor, or similar customer service role within the automotive, truck, fleet, or repair industry.
- Post-secondary education is considered an asset.
- Experience working in a high-volume repair environment is preferred.
Technical Skills
- Excellent customer service and relationship-building abilities.
- Strong written and verbal communication skills.
- High level of computer proficiency, including Microsoft Outlook and web-based applications.
- Experience using shop management and technical software such as:

- Identifix
- Other industry-related systems
