Job summary

CAE seeks a Training Administrator to manage the administrative lifecycle of aircrew in Moose Jaw, coordinating with DND and internal/external partners. This on-site role supports onboarding, orientation, and records management, with a focus on accurate documentation and timely communication.

Reporting to the FAct Air Operations Manager, you will handle scheduling, reporting, and FlightPro first‑level support, ensuring smooth transitions for personnel throughout training phases.

  • Support course scheduling, status tracking, and recurring reporting.

Job description

Description

The FAcT Training Administrator supports the administrative lifecycle of aircrew participating in the FAcT flying training program. Reporting to the FAcT Air Operations Manager, the Training Administrator serves as a central point of contact for personnel completing training in Moose Jaw and coordinates with the Department of National Defence (DND), internal teams, and external stakeholders.

This position is fully on-site in Moose Jaw, Saskatchewan. The anticipated work schedule is Monday to Friday, 8:00 a.m. to 4:00 p.m.

Responsibilities
  • Serve as a primary liaison among incoming personnel, DND, CAE departments, and other internal and external stakeholders.
  • Contact incoming personnel and provide administrative onboarding information to support their transition to Moose Jaw.
  • Coordinate local orientation activities, including facility tours and information about available equipment, systems, and services.
  • Support administrative processes associated with the commencement, progression, phase transition, location transition, and completion of training.
  • Provide first-level support to FlightPro users and coordinate issue resolution with the appropriate technical or program subject matter expert.
  • Maintain accurate aircrew qualifications, training records, databases, and associated documentation.
  • Support course scheduling, status tracking, and recurring reporting for internal and external stakeholders.
Minimum Qualifications
  • Grade 12 diploma or equivalent.
  • Demonstrated customer service or administrative support experience.
  • Strong interpersonal and communication skills, with the ability to work professionally with students, instructors, military personnel, internal teams, and external stakeholders.
  • Demonstrated attention to detail and commitment to maintaining accurate records.
  • Ability to organize multiple priorities and meet timelines in a dynamic work environment.
  • Ability to obtain and maintain Reliability Status.
Preferred Qualifications
  • Experience using or administering FlightPro.
  • Experience in a military, military aviation, or defence training environment.
  • Experience in aviation or aircrew training administration.
  • Experience maintaining training records, qualifications, databases, or recurring program reports.
  • Experience coordinating onboarding, training activities, or services involving multiple internal and external stakeholders.
