Qualifications

  • 2-5 years of facilities/events experience, preferably from a professional services firm.
  • Experience in event venue management and coordination is preferred.
  • Demonstrated experience with volunteer management and Eventbrite registration.

The Job!

You will be responsible for managing end-to-end event venue planning, from client intake through to event day support as well as other administrative and facility-related tasks.

  • Assisting with the setup and teardown of internal meetings, including preparing food and beverage service for guests
  • Assisting in creating and hosting quality activities (like holidays or socials)
  • Assisting with event sales inquiries
  • Monitoring and responding to vendor inquiries, processing activity permits, and coordinating with the security team to ensure seamless access and compliance
  • Managing vendor and contract coordination, including scheduling for installations, deliveries, and on-site work
  • Facilitating interactions between tenants, vendors, and building staff to maintain efficient operations and high-quality service
  • Ensuring all vendor requests are processed within a strict 24-hour turnaround time to meet operational demands
  • Maintaining a high level of professionalism in all communications and interactions, as some tenants invest millions in rental space and expect exceptional service
  • Other ad-hoc tasks, such as reception coverages, as necessary

What you bring to the job:

The ideal candidate is someone who is outgoing and confident. You also come with the following:

  • 2-5 years of facilities/events experience, preferably from a professional services firm
  • Demonstrated experience with volunteer management and Eventbrite registration
  • Experience in event venue management and coordination is preferred
  • Strong initiative, practical problem-solving skills, and attention to detail
  • Detail oriented and takes pride in their work
  • Excellent communication and client service skills
  • Strong work ethic and ability to work independently as well as within a team
