Job description

Position: Fabrication Coordinator

Scene Ideas Inc. is seeking a detail-oriented and proactive Fabrication Coordinator to support our production and operations teams. Reporting to the Operations Director, the Fabrication Coordinator will manage material procurement, scheduling labor, and interdepartmental communication to ensure efficient scenic fabrication projects.

This individual will coordinate daily logistics of multiple projects, including tracking labor and materials, managing purchase orders, supporting procurement, and liaising between departments to ensure project requirements are clearly communicated and executed. The role also involves occasional site support and adherence to safety protocols.

We are looking for a highly organized, adaptable, and collaborative team player who thrives in a fast-paced environment. The ideal candidate will have strong problem-solving skills, a hands-on approach, and the ability to manage multiple priorities with professionalism. While primarily office-based, occasional work on job sites may be required.

Must Have:
  • Eligibility to work in Canada (valid work permit or permanent residency).
  • Based within a commutable distance from Richmond, BC V6X 2P1.
  • Proficient in Microsoft 365 (Teams, Word, Excel) with the aptitude to learn CRM, Logistics, Quotation, Inventory, and SaaS applications.
Objective:

Assist in the timely coordination of scenic projects, including sourcing materials, scheduling labor, and communicating with relevant parties.

General Duties:
  1. Coordinate labor and materials with the Operations and Sales teams.
  2. Work with the Scene Shop & Warehouse Manager to track material usage and assign to projects.
  3. Track and input shop crew hours, and manage purchase orders for materials.
  4. Source vendors and update supplier database.
  5. Attend operations and project meetings as needed.
  6. Maintain weekly status reports.
  7. Manage workflow for rentals from sales requests to warehouse preparation.
  8. Act as liaison between sales, fabrication shop, warehouse, and crew.
  9. Identify and resolve inefficiencies or shortages.
  10. Estimate deadlines for inventory and rentals.
  11. Obtain quotes for supplies and rentals.
  12. Clarify order details with sales or clients prior to procurement.
  13. Develop and improve project management strategies.
  14. Assist onsite crews as needed.
  15. Coordinate logistics and trucking with the Operations Coordinator.
  16. Follow safety standards and guidelines.
  17. Contribute to a positive, professional team environment.
  18. Other duties as assigned.
Skills & Experience:
  • Minimum five years of relevant professional experience.

  • 40-hour work week, Monday to Friday, 7:30 am – 4:00 pm.

Remuneration:
  • Salary of $58,000 to $64,000 annually, based on experience.
