Position
Scene Ideas Inc. is seeking a detail-oriented and proactive Fabrication Coordinator to support our production and operations teams. Reporting to the Operations Director, the Fabrication Coordinator will play a key role in managing material procurement, scheduling labor, and interdepartmental communication to ensure the efficient execution of scenic fabrication projects.
This individual will be responsible for coordinating the day-to-day logistical components of multiple projects, including tracking labor and materials, managing purchase orders, supporting procurement, and liaising between departments to ensure all project requirements are clearly communicated and executed. This role also involves occasional site support and adherence to safety protocols.
We are looking for a highly organized, adaptable, and collaborative team player who thrives in a fast-paced production environment. The ideal candidate will have strong problem-solving skills, a hands-on approach, and the ability to manage multiple priorities while maintaining a high level of accuracy and professionalism. While this position is primarily office-based, occasional work on job sites may be required depending on project needs.
Must Have
- Eligibility to work in Canada: Must have the legal right to work in Canada, such as a valid work permit or permanent residency.
- Must be based in a commutable distance from Richmond, BC V6X 2P1.
- Good computer skills with Microsoft 365 experience (MS Teams, Word, Excel, other 365 products). Have aptitude/ability to learn software applications such as CRM, Logistics, Quotation, Inventory applications, and SaaS.
Objective
To assist in the timely and efficient coordination of custom scenic projects, including the sourcing and buying of materials, scheduling labour, and dissemination of related information and details to all relevant parties.
General Duties
- Work in conjunction with the Operations and Sales teams to coordinate labour and materials for upcoming projects.
- Work with the Scene Shop & Warehouse Manager to track and record all material usage and assign to specific projects.
- Work with the Scene Shop Manager to track and input all shop crew hours and assign time to specific projects.
- Work with the Scene Shop Manager to source and coordinate purchase orders for building, shop, and warehouse materials as needed.
- Source and procure vendors as needed and update the supplier database.
- Attend operations and project meetings as required.
- Work with the Scene Shop Manager to maintain weekly status reports.
- Manage workflow related to rentals from confirmed requests to order preparation by the warehouse team.
- Act as liaison between sales team and fabrication shop, warehouse, crew chiefs, etc., maintaining open communication between departments.
- Identify and propose resolutions for inefficiencies, conflicts, or perceived shortages in stock or equipment.
- Estimate and establish deadlines regarding inventory requirements or cross rentals.
- Source and obtain quotes for supplies and cross rentals as needed.
- Clarify issues with sales team or clients prior to order processing.
- Collaborate with the operations team to develop and implement strategies, policies, and practices for better project management and reporting.
- Assist crews onsite at job sites as needed.
- Coordinate logistics and trucking with the Operations Coordinator.
- Follow safety standards and procedural guidelines.
- Contribute to a positive, professional, and team-oriented atmosphere.
- Other duties as assigned.
Skills & Experience Requirements
- Minimum of five (5) years of professional experience in a similar role.
- High school diploma or equivalent.
- Strong computer skills on PC and Mac, including proficiency in Microsoft Office.

Schedule
- Based on a 40-hour work week.
- Office hours are Monday to Friday, 7:30 am to 4:00 pm, with evenings, weekends, and overtime on job sites as needed.
- Primarily based in Richmond, with occasional work at job sites.
Remuneration
- Salary of $58,000 to $64,000 annually, depending on experience.
