Your Opportunity
We are looking for a responsible Project Coordinator to administer and organize Tenant Interior projects, from simple activities to more complex plans. Stantec has over 425 offices worldwide. The Corporate Real Estate Workplace Team is responsible for all renovations and tenant fit outs for offices within North America. This position could possibly be responsible for projects in Canada and/or the United States.
Working closely with our Project Manager, you will prepare comprehensive action plans including resources, timeframes and budgets for projects. You will perform various coordination tasks, such as schedule and risk management; along with administrative duties, such as maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with internal clients and internal teams to deliver results on deadlines.
Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet high quality standards.
Your Key Responsibilities
- Coordinate project management activities, move activities, resources, equipment and information
- Coordinate with internal Stantec teams – Information technology, design team, corporate security, procurement
- Coordinate with the Architect of record and Engineer of record
- Coordinate signage installations
- Break projects into doable actions and set timeframes
- Liaise with clients, contractor and Landlords to identify and define requirements, scope and objectives
- Assign tasks to internal teams and assist with schedule management
- Oversee project procurement management
- Analyze risks and opportunities. Monitor project progress and handle any issues that arise. Work with the Project Manager to eliminate blockers
- Act as the point of contact during construction and communicate project status to all participants and Project Manager
- Use tools to monitor working hours, plans and expenditures
- Create and maintain comprehensive project documentation, plans and reports; including issue of appropriate legal paperwork (e.g. contracts and terms of agreement) and obtaining Certificate of Insurance for all vendors and submitting to Landlord.
- Be familiar with and comply with local jurisdiction requirements
- Coordinate permit set to the City and follow-up on building permit status; as well as construction administration paperwork, filing reviewing
- Ensure standards and requirements are met through conducting quality assurance tests, reviewing Operation and Maintenance manuals, and completing deficiency walk throughs, document and follow-up
- Project close out and documentation
Qualifications
Your Capabilities and Credentials
- Travel may be required. Must have a valid passport.
- An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
- Solid organizational skills, including multitasking and time-management
- Strong client-facing and teamwork skills
- Familiarity with risk management and quality assurance control
- Project Management Professional certification is a plus
Education And Experience
- High school diploma
- 3 years proven work experience as a Project Coordinator or similar role, from conception to delivery
