This position requires collaboration at the WestJet Campus (22 Aerial Place NE) 5 days per week, Monday to Friday.

WestJet is seeking a Senior Administrative Assistant to support the Technical Operations Team. The ideal candidate is well-organized, detail-oriented, proactive, flexible, and committed. Building strong cross-functional relationships and a passion for coordination and administration are essential. The Senior Administrator will provide full support to the Vice President of Technical Operations, handling highly confidential information with discretion, judgment, and independence. The role is fast-paced, high-volume, and involves a broad spectrum of internal and external issues, stakeholders, and priorities.

Key Responsibilities :

Responsibilities include, but are not limited to:

  1. Managing all aspects of the VP of Technical Operations’ calendar and coordinating meetings with the VP, EVP, and other senior teams.
  2. Handling confidential and sensitive information with discretion.
  3. Drafting, sending, and tracking correspondence and action items for the VP and Directors.
  4. Preparing and editing materials such as presentations and communications for the VP.
  5. Coordinating internal and external communications, including social media updates.
  6. Creating agendas, booking meeting rooms, managing catering, and coordinating travel arrangements.
  7. Attending weekly Tech Ops Directors’ meetings, preparing minutes, and following up on action items.
  8. Collaborating with People Relations and Procurement to manage staff changes, vendor agreements, and purchase orders.
  9. Preparing expense reports and organizing events.
  10. Creating organizational charts and maintaining files.
  11. Supporting internal guests and developing relationships with vendors.
  12. Assisting with special projects, process improvements, and bridging gaps between Corporate and Tech Ops.

Qualifications :

  • Degree or diploma in Business Administration or related field.
  • 3 to 5 years of experience in a senior administrative role.
  • Experience handling confidential issues.
  • Strong communication skills and proficiency in MS Office Suite.
  • Attention to detail, organization, and multitasking abilities.
  • Proactive, adaptable, and able to work independently.
  • A positive attitude and enthusiasm for fun!
