Job description

LaPrairie Group of Companies is looking for a Senior Office Administrator to join its team in downtown Calgary, Alberta.

The Senior Office Administrator is responsible for a wide variety of administrative duties in support of LAPRAIRIE's several operating divisions across North America.

In this role, you will facilitate executive assistance, general administration, office management, and reception duties. These duties will be completed at the front-facing Reception desk.

We are looking for a candidate who is experienced in the duties outlined below, comfortable managing multiple tasks and projects simultaneously, and thrives working independently.

Job Responsibilities
General Administration Duties
  • Provide quality administrative support to the executive team and management.
  • Collaborate with multiple LaPrairie team members and departments on projects as required.
  • Complete accounting coding tasks and data entry.
  • Maintain administrative procedures and manuals.
  • Maintain a high level of confidentiality in all interactions.
  • Review documentation for correct formatting, content, grammar, spelling, and make edits as required.
  • Draft, format, and edit company communications including memos, letters, etc., for approval.
  • Order business cards and company promotional materials as requested.
  • Assist with the planning and execution of events.
Office Management / Reception Duties
  • Receive, screen, and redirect incoming calls and inquiries to the appropriate individuals, departments, locations, or the company. Take and send messages as required.
  • Ensure the office is kept clean and orderly.
  • Coordinate domestic and international shipments.
  • Order office supplies and maintain supply inventory.
  • Liaise with Building Management. Coordinate office cleaning, maintenance, and repairs.
  • Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure required items are available (appropriate presentation equipment, catering, etc.).
  • Facilitate the Office safety program and coordinate online training.
Requirements
  • 3-5 years of experience working in administration and/or communications.
  • Excellent writing skills, including proper spelling, grammar, and punctuation.
  • Independent worker with superior time management skills.
  • Able to prioritize tasks and complete duties with minimal supervision.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • High level of sound and independent judgment, reasoning, and discretion.
  • Post-secondary degree, diploma, or designation related to Communications, Business, Business Administration, or another related field.
