Job summary

Toppan Merrill is seeking a Document Specialist to join our hybrid team in Canada. You will onboard Word documents into the Quinn platform, run cleanup, apply style tagging, and validate formatting to ensure high-quality, compliant client documents.

Working with Customer Success, Production Design, and other teams, you’ll support edits, platform questions, UAT testing, and ongoing process improvements while delivering exceptional service to clients.

Qualifications

• BA/BS degree in Business or related field preferred, or equivalent combination of education and experience.
• 1+ year of advanced Microsoft Word, document production, desktop publishing, or related experience preferred.
• Strong understanding of document styles, formatting, proof review, and print production concepts.
• Experience in a client-facing, customer service, or support-oriented environment.
• Ability to identify, troubleshoot, and resolve formatting and document production issues.
• Strong attention to detail with the ability to manage multiple priorities and deadlines.
• Experience with HTML, XPP, disclosure documents, legal document services, publishing, or typesetting is a plus.

Responsibilities

• Onboard Microsoft Word documents into the Quinn platform and prepare files for production.
• Run document cleanup processes, apply style tagging, and validate formatting accuracy.
• Generate, review, and troubleshoot document proofs to identify and resolve formatting or production issues.
• Support clients with document edits, platform questions, and issue resolution.
• Participate in document set-up, optimization, and ongoing maintenance activities.
• Collaborate with Customer Success, Production Design, Proxy, and other cross-functional teams to deliver exceptional client service.
• Participate in User Acceptance Testing (UAT) for platform enhancements and new releases.
• Document processes and contribute to continuous improvement initiatives across the Document Services team.
