Job summary

Pomerleau in Montreal, QC is seeking a Document Control Technician to apply management procedures on a construction project under the supervision of the Document Control Manager.

The role focuses on EDMS administration, access control, coding standards, and ensuring distribution of hospital equipment drawings and specs to stakeholders; involves organizing handover and continuous improvement of processes.

Qualifications

  • University certificate in Archival Studies or relevant experience.
  • Minimum 3 years of document management experience.
  • Experience in construction industry and hospital projects is an asset.
  • Experience using document management systems and/or document classification systems is an asset.
  • Ability to create and maintain document registers and tracking matrices.

Responsibilities

  • Administer the Electronic Document Management System (EDMS).
  • Manage user access rights and permissions.
  • Apply document coding and identification standards.
  • Ensure document management processes are properly followed.
  • Act as the primary point of contact for users of the document management platform.
  • Perform document control on hospital equipment deliverables, drawings, and specifications, and ensure their distribution to project stakeholders.
  • Assist team members in locating and retrieving project documents within the document management system.
  • Participate in the continuous improvement of internal electronic document management processes.
  • Organize and coordinate the final project documentation handover to the client.

Under the supervision of the Document Control Manager, the Document Control Technician is responsible for applying document management procedures and standards within a construction project while ensuring compliance with contractual requirements.


What You Will Do


  • Administer the Electronic Document Management System (EDMS);

  • Manage user access rights and permissions;

  • Apply document coding and identification standards;

  • Ensure document management processes are properly followed;

  • Act as the primary point of contact for users of the document management platform;

  • Perform document control on hospital equipment deliverables, drawings, and specifications, and ensure their distribution to project stakeholders;

  • Assist team members in locating and retrieving project documents within the document management system;

  • Participate in the continuous improvement of internal electronic document management processes;

  • Organize and coordinate the final project documentation handover to the client.


This role could be for you if you have :



  • A university certificate in Archival Studies or relevant experience;

  • A minimum of 3 years of relevant experience in document management;

  • Experience in the construction industry and on hospital projects, an asset;

  • Experience using document management systems and/or document classification systems, an asset;

  • The ability to create and maintain document registers and tracking matrices;

  • Excellent organizational skills, attention to detail, and a strong commitment to accuracy;

  • Strong analytical and problem-solving abilities;

  • The ability to manage multiple priorities while meeting strict deadlines;

  • Excellent communication and information-sharing skills;

  • The ability to collaborate effectively with a variety of internal and external stakeholders;

  • Professionalism and a high level of discretion in handling confidential documents.
