Job summary

Teknion in Canada seeks a Design Services Coordinator to support showroom renovations and product launches across the Canadian market, reporting to the Manager, Design Services. Qualifications

  • Bachelor's degree in Architecture, Interior Design, or related discipline.
  • 2–4 years of project coordination experience in commercial A&D, general contractor, or contract furniture.
  • Proficiency in CET, AutoCAD, Revit, SketchUp, and Adobe Creative.
  • Familiarity with Canadian construction standards and rollout programs.
  • Strong organizational and communication skills.
  • Bilingual in French and English is an asset.

  • Maintain and organize project documentation (contracts, drawings, RFIs, submittals, change orders).
  • Track and log RFIs, submittals, and shop drawings; ensure timely follow-ups.

  • Monitor project progress and flag potential delays or risks.
  • Coordinate with consultants, subcontractors, and internal teams to maintain timelines.

Job description

The Design Services Coordinator is a crucial project management and support role within the Canadian Marketing department. Working closely with the Manager, Design Services, this role helps facilitate the execution of showroom renovations and product launches across the Canadian market. With a strong background in architecture or design and drawing on principles from commercial construction and design project management, the Coordinator ensures that all technical drawings, budgets, contractor schedules, and administrative tasks are tracked and maintained effectively.

What is this role responsible for?
Project Coordination & Administration
  • Assist with day-to-day project execution across multiple projects
  • Maintain and organize project documentation (contracts, drawings, RFIs, submittals, change orders)
  • Track and log RFIs, submittals, and shop drawings; ensure timely follow-ups
  • Prepare meeting minutes, action lists, and project reports
  • Support development and maintenance of project schedules
  • Monitor project progress and flag potential delays or risks
  • Coordinate with consultants, subcontractors, and internal teams to maintain timelines
Design & Specification Support
  • Support creating and maintaining drawings and specifications
  • Conduct spec checks and audits as required
  • Support showroom styling and staging
  • Assist in budget tracking, cost reporting, and forecasting
  • Support procurement processes, including tendering, bid analysis, and award recommendations
  • Review and process invoices, progress draws, and change orders
Stakeholder Coordination
  • Liaise with internal clients, consultants, subcontractors, and suppliers
  • Support communication between various internal and external working teams
  • Help coordinate site activities and logistics as required
Quality & Compliance
  • Ensure project documentation aligns with contract requirements and company standards
  • Assist with permit tracking, inspections, and closeout documentation
  • Support sustainability certification documentation and compliance processes
What is needed for this role?
  • Bachelor’s degree in Architecture, Interior Design, or related discipline is preferred
  • 2-4 years of project coordination experience at a commercial A&D firm, general contractor, or within the contract furniture industry.
  • Proficiency in CET, AutoCAD, Revit, SketchUp, and Adobe Creative
  • Familiarity with Canadian construction standards and rollout programs
  • Strong understanding of construction drawings, detailing, and building systems
  • Working knowledge of millwork drawings, fixture packages, and shop drawing coordination
  • Experience coordinating with construction teams, fabricators, and vendors
  • Creative and proactive problem-solver who bridges design intent and field execution
  • Excellent organizational and communication skills, with ability to manage multiple active projects
  • Strong attention to accuracy, detail, and visual presentation of drawings
  • Bilingual in French and English is an asset

The expected base salary range for this position starts at $65,000. Final base salary offers will reflect an assessment of the selected candidate's skills, demonstrated competencies, and adherence to our internal pay equity framework.
