Job summary

Chartright Air Group is seeking a Crew Scheduler to coordinate flight crew schedules, ensuring regulatory compliance and safe, efficient operations. You will work with pilots and operational teams to assign qualified crew while managing changes due to disruptions or duty limits.

Ideal candidates have 2–5 years in crew scheduling or related aviation roles, knowledge of CARs, and strong MS Office and scheduling system skills.

Qualifications

  • Post-secondary diploma/degree in aviation-related field is an asset.
  • 2–5 years of experience in crew scheduling or related aviation operations.
  • Experience in business aviation or charter operations is preferred.
  • Knowledge of CARs and flight/duty time regulations is beneficial.
  • Proficiency with Microsoft Office Suite and scheduling systems.

Responsibilities

  • Serve as primary contact for crew scheduling; assign qualified flight crew per requirements.
  • Ensure compliance with CARs, flight time limitations, and company policies.
  • Monitor crew qualifications, licences, medicals, passports, visas, and training.
  • Communicate schedule changes and updates to crew and stakeholders.
  • Develop relationships with contract pilots to ensure available crew resources.
  • Support scheduling decisions through FCC systems and workforce planning.

Role Overview

The Crew Scheduler is responsible for coordinating flight crew schedules to support safe, compliant, and efficient flight operations. Working closely with pilots and operational teams, this role ensures qualified crew members are assigned appropriately while maintaining regulatory compliance and operational continuity.

What You’ll Do

Serve as the primary point of contact for crew scheduling matters, assigning qualified flight crew in accordance with client requirements, aircraft qualifications, and operational demands.

Assign qualified flight crew based on client requirements, aircraft qualifications, and operational needs. Ensure crew assignments comply with Canadian Aviation Regulations (CARs), flight and duty time limitations, rest requirements, and Company policies.

Monitor crew qualifications, licences, medical certificates, passports, visas, and training validity. Manage schedule changes resulting from operational disruptions, crew availability, weather events, maintenance requirements, and client requests.

Communicate schedule changes, flight assignments, and operational updates to flight crew and stakeholders. Collaborate with Flight Operations, Flight Coordination, Maintenance, Training, Payroll, and Human Resources to support operational requirements.

Proactively identify, source, and maintain relationships with qualified contract pilots to ensure a readily available pool of crew resources capable of supporting operational requirements, vacation coverage, training events, reserve coverage, and short‑notice operational disruptions.

Develop and maintain proficiency in Flight Coordination Centre (FCC) systems, processes, and workflows to effectively support scheduling decisions, operational changes, and crew‑related requirements. Monitor staffing trends and forecast crew availability to support workforce planning.

Contribute to continuous improvement initiatives related to scheduling processes, systems, and operational efficiency.

What You Bring

A post‑secondary diploma or degree in Aviation Management, Business Administration, Logistics, or a related field is considered an asset – equivalent combination of education and aviation experience may be considered.

Minimum 2–5 years of experience in crew scheduling, flight operations, dispatch, workforce scheduling, or a related aviation environment.

Experience supporting business aviation, charter operations, airline operations, or other safety‑sensitive environments is preferred.

Experience coordinating complex schedules and managing operational changes in a fast‑paced environment.

Experience working with flight crew qualifications, training requirements, and regulatory compliance is considered an asset.

Knowledge of Canadian Aviation Regulations (CARs) and Flight and Duty Time Regulations is preferred.

Hours of Work

Work hours will be on rotational 12‑hour shifts in a “554” scheme that includes morning, afternoon and night shifts. We will consider an equivalent combination of education and experience.

Additional Requirements

Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.

Experience using crew scheduling, flight operations, or workforce management software.

Ability to interpret and maintain records related to crew qualifications, training, and compliance requirements.

Comfortable working with multiple systems and databases in a dynamic operational environment.

Strong data entry, reporting, and record management skills.

Ability to maintain confidentiality and exercise sound judgment.
