Job summary

Flair Airlines is seeking a dedicated Crew Scheduler to coordinate pilot and cabin crew schedules for a 24/7 operation from our Toronto, ON office.

Reporting to the Manager, Crew Scheduling, you will ensure regulatory compliance, optimize crew utilization, and adapt to real-time operational changes while maintaining clear communication with crew members and other stakeholders.

Qualifications

  • Minimum of two years in a fast-paced environment.
  • Minimum of two years of customer service experience.
  • Knowledge of Transport Canada CARs regulations is preferred.
  • Intermediate knowledge of Microsoft Office.
  • Ability to read, understand, and apply CARs for 705 operations.

Responsibilities

  • Audit and verify crew schedules for legal compliance.
  • Ensure duty hours and days worked comply with CARs and FRMS.
  • Schedule pilots and cabin crew per CARs, COM, FRMS, and collective agreements.
  • Make decisions to maximize crew utilization and transparency.
  • Coordinate with SOCC during day-to-day operations and IROPS.
  • Book crew travel and accommodations with cost-conscious scheduling.
  • Communicate updates clearly and document thoroughly.
  • Log sick calls, absences, delays, and no-shows.
  • Use company scheduling software to update and track changes.

Your Team:

Join Flair’s Flight Operations team as a Crew Scheduler, where organization, quick decision‑making, and attention to detail are key to ensuring safe and efficient flight operations. Reporting to the Manager, Crew Scheduling, you will be responsible for coordinating pilot and cabin crew schedules, maintaining compliance with duty regulations, and responding to real‑time operational changes. In this role, you’ll play a vital part in keeping flights fully staffed and on time while supporting a 24/7 operation. This position requires flexibility to work rotating shifts, including evenings, nights, weekends, and holidays.

This position is based on‑site at our Toronto, ON office.

A Day in the Life:

As a Crew Scheduler, you will:

  • Continuously audit, adjust, and verify crew schedules to ensure legal compliance across all planned flights
  • Ensure crew duty hours and days worked remain within the limits set by Transport Canada’s Canadian Aviation Regulations (CARs) and Fatigue Risk Management System (FRMS) principles
  • Schedule and monitor all flight crews in accordance with CARs, the Company Operations Manual (COM), FRMS guidelines, and collective agreements for Pilots and Cabin Crew
  • Apply sound decision‑making practices to maximize crew utilization, productivity, and operational transparency
  • Coordinate with the Systems Operations Control Center (SOCC) during day‑to‑day operations and Irregular Operations (IROPS) to manage schedule disruptions and recovery plans
  • Book and manage crew travel and accommodations with a focus on schedule efficiency and cost control
  • Communicate clearly and professionally with crew members, ensuring all updates are timely, accurate, and well‑documented
  • Accurately log sick calls, absences, delays, and no‑shows in line with company and regulatory policies
  • Use company software tools efficiently to perform scheduling tasks, make updates, and track operational changes

  • Education:
    • High School or GED equivalent.
  • Experience:
    • Minimum of two (2) years of experience working in a fast‑paced work environment is preferred
    • Minimum of two (2) years of customer service experience is preferred
    • Previous Airline Operations Centre or Airport Operations experience is an asset
    • Must be able to read, understand, and apply Transport Canada CARs regulations, company policies, and procedures
    • Intermediate knowledge of Microsoft Office Suite (Word, Excel, and Outlook) is essential
    • Make effective decisions regarding scheduling and customer requirements for charters and other flights
    • Knowledge of the Canadian Aviation Regulations (CARs) as they apply to 705 operations is preferred
  • Skills and Abilities:
    • Demonstrated ability to work effectively in a high‑stress, deadline‑driven, ever‑changing work environment while prioritizing tasks and assignments
    • Ability to maintain composure under pressure with time‑sensitive priorities
    • Ability to handle multiple tasks and maintain an organized workflow
    • Strong communication skills and the ability to build effective working relationships with a variety of stakeholders
    • Demonstrated analytical, decision‑making, and problem‑solving skills
    • Crew Schedulers must be contactable on a 24‑hour, 7‑day‑a‑week basis as per the shift schedule including days, nights, weekends, and holidays
  • Requirements:
    • Clear criminal record check and satisfactory references.
    • Must be legally eligible to work in Canada without restriction.
