Compass Communities is seeking a Corporate Administrator to provide in-office administrative support at the corporate office in Mississauga. The role reports to the Chief Administrative Officer and is essential for running efficient daily operations.

Responsibilities

  • Oversee general office administration and greet visitors; maintain supplies and coordinate meetings and events.
  • Coordinate onboarding: workstations, security access, nameplates, uniforms, and onboarding materials.
  • Manage inventory of swag, gifts, and promotional items with vendors.
  • Maintain records for vehicle fleet; manage drivers, insurance changes, fuel cards, and fleet reports.
  • Monitor general email and phone, respond to routine inquiries and route requests.

Role Summary

Reporting to the Chief Administrative Officer, the Corporate Administrator is responsible for providing administrative support at the corporate office to ensure effective and efficient operations.

This is an in-office position, based out of our Corporate Office in Mississauga.

Core Responsibilities
  • Oversee general office administration, including ensuring meeting rooms, kitchen, and common areas are tidy and ready for daily use; greeting and assisting visitors; maintaining office and kitchen supplies; and coordinating monthly team lunches and catering for meetings and events;
  • Coordinate the workplace setup for new hires, including workstations, security access, nameplates, uniforms, and other required office or onboarding materials;
  • Manage inventory and ordering of new-hire swag, corporate gifts, and promotional items in coordination with the company’s promotional products vendor;
  • Maintain accurate records for the company vehicle fleet, including adding and removing authorized drivers, reporting changes to the insurance provider, fuel card management, and preparing fleet reports for management;
  • Monitor the company’s general email inbox and telephone line, responding to routine inquiries and directing requests to the appropriate team members for follow-up and action;
  • Provide administrative support to the executive team as required, including preparing and processing expense reports through Concur, and printing and preparation of materials required for meetings;
  • Coordinate incoming and outgoing mail and courier services, including receiving, sorting, distributing, and arranging shipments as required;
  • Other duties related to this role as assigned.
Required Skills and Experience
  • 1 + years’ experience in office administration and coordination;
  • Strong computer skills in MS Office (Word, Outlook, Excel and PowerPoint);
  • Relevant education and/or experience in Human Resources is considered an asset;
  • Excellent communication and interpersonal skills;
  • Strong attention to detail, excellent organizational skills, and strong time-management skills;
  • Demonstrates good judgement and excellent service delivery skills;
  • Ability to prioritize and multitask as priorities change;
  • Detail-oriented with a demonstrated commitment to quality

This job is a newly created role, introduced to support our continued growth and evolving business/operational needs.

The expected annualized base salary range for this role is $47,500-$55,000.

Based on the position, Compass Communities offers a competitive compensation package in addition to the base pay, which may include a performance-based bonus incentive, comprehensive health & dental benefits, group RRSP matching program, and generous paid time off.

The actual salary offered will take into consideration a number of factors including, but not limited to, the individual’s skill, experience, education and training and the market compensation of the role.
