Job summary

Compass Communities is seeking a part-time on-site Community Administrator to support daily property operations across Canadian communities. You’ll handle rent collections, AR reporting, vendor coordination, and resident inquiries, while ensuring adherence to company policies and safety standards.

You’ll work closely with the Community Manager and Maintenance team, maintaining records, processing payments in Rent Manager, and helping keep facilities clean, safe, and compliant with regulations.

Qualifications

  • 2+ years of relevant experience in a similar role.
  • Residential property management experience is a strong asset.
  • Proficient with Word, Excel, Outlook and Rent Manager.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong customer service orientation and communication skills.
  • Valid driver’s license and reliable transportation.

Responsibilities

  • Assist in operating the community according to Compass standards to establish and maintain the community rules and regulations.
  • Receive POs, creating requisitions and recording rent payments.
  • Deliver rent payments to the bank (where applicable).
  • Enter rent payments into the Rent Manager system and reconcile and process bank deposits.
  • Assist in creating and managing issue tickets and communicating them to the maintenance team.
  • Follow-up on outstanding requests.
  • Work within the assigned budget; review accounts receivable and maintain collections efficiency.
  • Generate weekly AR reports.
  • Collect lot rent with the objective of maintaining zero AR balance.
  • Assist with safety, reporting accidents/incidents per policy.
  • Meet with contractors/vendors and ensure jobs start and finish on time.
  • Inspect common areas and infrastructure to ensure maintenance and safety.
  • File fire safety documents and inspect systems bi-annually.
  • Communicate with homeowners about leases, payments, deferrals, terminations, and complaints.
  • Create tenant notices/letters for rent, leases and maintenance; obtain Regional Manager approval.
  • Assist prospective residents with applications through approval workflow.
  • Organize tenant appreciation and social events.

Reporting to the Community Manager, the Community Administrator will work closely with the Community Manager and Maintenance team to ensure effective community operations. This role assists in handling all daily property management requirements such as collecting receivables, coordinating with contractors and addressing any homeowner inquiries or concerns.

This position will be fully on site.

Core Responsibilities
  • Assist in operating the community in accordance with Compass standards to establish and maintain the community rules and regulations;
  • Receive POs, creating requisitions and recording rent payments;
  • Deliver rent payment to the bank (where applicable);
  • Enter rent payments into the Rent Manager system and reconcile and process bank deposits;
  • Assist in creating and managing issue tickets and communicating them to the maintenance team;

  • Review accounts receivable and maintain collections efficiency;
  • Generate weekly AR reports;
  • Collect lot rent with the objective of managing and achieving a zero balance in AR;
  • Assist and work in a safe working environment for all employees by following the Health and Safety Policy and reporting all accidents/incidents in accordance with company policy;
  • Meet and work with contractors/vendors when needed and ensure all jobs are started and completed within deadlines;
  • Assist with inspecting common areas and all infrastructure including roads, landscaping, tree service, waste management and Community utility systems to ensure they are maintained and working effectively while eliminating any potential hazards;
  • Assist with filing fire safety documents and inspecting all fire safety systems bi-annually or when required;
  • Communicate with homeowners about leases, rent payments and deferrals, and lease termination, as well as satisfactorily resolve any complaints;
  • Create tenant notices/letters regarding rent payments, potential lease termination/evictions, community standards and maintenance concerns including waste management, etc. for the Regional Manager’s approval and distribute them;
  • Assist with prospective residents, processing and filing applications and seeing them through the approval workflow;
  • Assist with the organization and implementation of tenant appreciation and social events.
Required Skills and Experience
  • 2+ years of relevant experience in a similar line of work;
  • Previous experience in residential property management is a strong asset;
  • Computer and software proficiency (primarily Microsoft Word, Excel, Outlook, Internet and Rent Manager);
  • Demonstrated ability to make decisions, exercise good judgment, and maintain confidentiality;
  • Ability to demonstrate a responsible and positive attitude;
  • A genuine interest in customer service, helping and working with homeowners;
  • Ability to communicate well and establish relationships with colleagues and residents;
  • Strong written and verbal communication;
  • Valid driver’s license, and reliable, insured means of transportation to and between work locations as required for some locations.

This job is to fill an existing vacancy and will be on permanent part-time basis. We’re looking for a strong candidate who can step into this role and continue supporting our team.

The expected annualized base salary range for this role is $45,000 – $50,000.

Based on the position, Compass Communities offers a competitive compensation package in addition to the base pay, which may include a performance-based bonus incentive, comprehensive health & dental benefits, company-matched RRSP, and generous paid time off.
