The World Anti-Doping Agency (WADA) was established in 1999 as an international independent agency to lead a collaborative worldwide movement for doping-free sport. As the global regulatory body, WADA’s primary role is to develop, harmonize and coordinate anti-doping rules and policies across all sports and countries. Our key activities include: scientific and social science research; education; intelligence & investigations; development of anti-doping capacity; and, monitoring of compliance with the World Anti-Doping Program.
POSITION OVERVIEW
The HR Coordinator plays a central role in supporting the smooth functioning of Human Resources operations at WADA. This position ensures continuity, accuracy, and responsiveness in both internal HR services and broader organizational support. In the absence of this role, critical administrative tasks, communication channels, and financial coordination processes are at risk of being delayed, mishandled, or falling through the cracks—directly impacting employee experience, compliance, and the efficiency of the HR team
KEY RESPONSIBILITIES
Manages the HR inbox, responds to employee queries, addresses routine requests, and redirects questions to appropriate HR team members or departments.
Acts as the super user for BambooHR and SharePoint, ensuring all HR documents, templates, and internal resources are updated and accessible.
Conducts regular audits to verify data accuracy, ensure confidentiality, and maintain HRIS security, in collaboration with CSS, IT, and the HR team.
Maintains the HR department’s annual calendar of internal reminders and collaborates with the Coordinator, Corporate Services and Sustainability to ensure timely contributions to the WADA Community News.
Oversees the production and upkeep of the Leadership Report in collaboration with the HR team.
Manages HR-related financial tasks including preparation and tracking of purchase orders and invoices in Business Central (BC), reconciliation of the HRD corporate credit card, and processing of per diem and expense claims. Coordinates closely with the Finance team.
Ensures organizational charts are kept up to date and posted promptly. Verifies all job titles in both French and English within the HRIS to maintain consistency and compliance.
Coordinates schedules and meetings for new hires while tracking and liaising with IT and Office Operations (CSS) to ensure efficient delivery and retrieval of WADA welcome gifts and IT equipment.
Provides coordination and administrative support on various HR projects and undertakes additional responsibilities as delegated by the HR Director.
