Role description:

Arcadis is currently seeking a Contract Administrator Assistant to assist the Civil Engineering team with operational and administrative activities related to project coordination, operation, and delivery.

This role is within our global business area Places, where we work with clients worldwide to create, support, and enhance smart, safe, and sustainable places. These are environments where people live, work, learn, and thrive, including homes, shops, workplaces, schools, hospitals, manufacturing and R&D facilities, and data centers. Well-designed and well-managed spaces are essential for community and individual well-being.

Role accountabilities:
  • Assist in preparing, issuing, and managing tender documents for projects.
  • Organize and maintain records of contracts and related documentation.
  • Coordinate and communicate with internal teams and external stakeholders on contract matters.
  • Prepare, track, and manage letters of credit.
  • Support project close-out activities.
  • Perform general administrative duties, including data entry, correspondence, and filing.
  • Handle invoices and distribute them to appropriate clients.
  • Support health and safety plan preparation and communication.
  • Coordinate the replacement of health and safety equipment as needed.
  • Assist with general office-related administrative activities as part of a local team.
Qualifications & Experience:
  • Minimum of two years of administrative experience or a demonstrated combination of education, skills, knowledge, and experience.
  • Prior experience in project administration or coordination is an asset.
  • Proficiency in MS Office Suite (Word, Outlook, Excel, PowerPoint).
  • Post-secondary education in project management or administration is an asset.
  • Understanding of project management concepts.
  • Excellent attention to detail, accuracy, and quality in processing files and records.
  • Professional interaction across all organizational levels.
  • Valid driver’s license and access to a personal vehicle are required.

The salary range for this position is $55,000 - $65,000, based on location, skills, experience, and qualifications.
