Summit Air, Operations team based in Yellowknife, NWT, operates across Canada, specializing in passenger charters, cargo transport, and customized flight solutions for industry-leading clients. The company has a legacy of excellence in northern and remote aviation.

Our accounts receivable department ensures smooth operations by managing cash influx and collecting client payments. We are seeking a Billing Administrator to join our accounts receivable team in the aviation division, responsible for processing and tracking invoices and recording payments accurately, efficiently, and timely. The role impacts deadline-driven financial transactions while maintaining good relationships with partners and clients.

The Billing Administrator will validate complex billing information, prepare invoices, submit client invoices, perform billing reconciliations, generate reports, apply cash, and close jobs. Effective communication with project operational teams is essential to ensure data accuracy, timeliness, and completeness.

Essential Responsibilities:
  1. Compile essential information and reports, such as client details, expense receipts, and third-party invoices, from multiple sources to support invoicing.
  2. Access aviation systems to retrieve invoicing information.
  3. Monitor and collect accounts receivable by contacting clients professionally via phone, email, and mail.
  4. Maintain accounts receivable records, ensuring aging is current, credits and collections are applied, uncollectible amounts are recorded, and discrepancies are resolved.
  5. Verify invoice accuracy and ensure proper documentation before payment.
  6. Understand basic finance and accounting principles.
  7. Prepare and submit client invoices using external payment systems.
  8. Prepare customer billings and enter them into the ERP system.
  9. Deliver billing via electronic or standard mail services.
  10. Escalate issues appropriately and expedite resolutions.
  11. Assist the business and employee service center with investigating customer payments for proper cash application in the ERP system.
Qualifications:
  1. At least two years of experience in accounts receivable or a similar role.
  2. Advanced proficiency in Microsoft Excel (functions and formulas).
  3. Experience with electronic billing systems is an asset.
  4. Strong attention to detail and accuracy.
  5. Excellent analytical and problem-solving skills for resolving billing issues.
  6. Strong mathematical skills.
  7. Effective time management and organizational skills.
  8. Proficiency with Google Drive and the ERP system JDE.
  9. Experience in process improvement.
  10. Ability to work independently and in teams, multitask, prioritize, and meet deadlines.
  11. Excellent verbal and written communication skills.
  12. Commitment to continuous improvement and customer service excellence.
Work Conditions:
  1. Work from the office 2-3 days per week.
  2. Location options: Vancouver, BC or Edmonton, AB.
