Qualifications

Job description

Summit Air, Operations team is based in Yellowknife, NWT, operates across Canada, specializing in passenger charters, cargo transport, and customized flight solutions for industry-leading clients with a legacy of excellence in northern and remote aviation.

Our accounts receivable department manages cash flow and client payments. We are seeking a Billing Administrator for our aviation division to process and track invoices and record payments accurately, efficiently, and promptly. The specialist will impact financial transactions and maintain good relationships with partners and clients.

As a Billing Administrator, your responsibilities include validating billing information, preparing invoices, submitting client invoices, reconciliation, reporting, cash application, and job close-out. Communication with operational teams is essential for data accuracy and timeliness.

Essential Responsibilities:
  1. Compile reports and information from multiple sources to support invoicing.
  2. Access aviation systems for invoicing information.
  3. Monitor and collect accounts receivable through professional communication.
  4. Maintain AR records, ensure aging is current, and apply credits and collections.
  5. Verify invoice accuracy and documentation before payment.
  6. Understand basic finance and accounting principles.
  7. Prepare and submit client invoices via external payment systems.
  8. Enter customer billings into the ERP system.
  9. Deliver billing via electronic or standard mail.
  10. Escalate issues and support resolution efforts.
  11. Assist in investigating customer payments for correct cash application.
Qualifications:
  • At least two years’ experience in AR or similar role.
  • Advanced Excel skills (Functions and Formulas).
  • Experience with electronic billing systems is an asset.
  • High attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Mathematical proficiency.
  • Excellent time management and organizational skills.
  • Proficiency with Google Drive and JDE ERP system.
  • Experience in process improvement.
  • Ability to work independently and in teams, prioritize, and meet deadlines.
  • Excellent communication and interpersonal skills.
  • Commitment to customer service and continuous improvement.
Work Conditions:
  • Office work 2-3 days per week.
  • Location in Vancouver, BC or Edmonton, AB.
