Job summary

AgeCare is seeking a Scheduler to manage shift bookings and daily operations in our long-term care environment. You will generate reports on demand and drive service improvements to enhance resident care and staff efficiency.

Key duties include filling all shifts, maintaining the site workbook, managing attendance and overtime, and collaborating with unit clerks to ensure accurate staffing records in Kronos.

Qualifications

• Proficiency in MS Office (Excel, Word, Outlook) and presentation tools.
• Experience handling scheduling or office-operations tasks in healthcare or similar setting preferred.
• Ability to maintain confidentiality and exercise professional judgment.

Responsibilities

• Provides solution-focused assistance to site staff.

• Screens sick time and attendance, fills shifts, and schedules accordingly.
• Prepares daily assignment sheets for departments.
• Monitors overtime and agency use to keep costs down.

• Enters relief staff into Kronos and logs hours/pay codes.
• Coordinates with Unit Clerks/Administrative staff.

The Opportunity:

The Scheduler is responsible for the booking of shifts, the effective day to day business operations, providing reports on an ad-hoc basis and as requested. This role will establish continuous, innovative improvement of current services in order to provide an enhanced customer service experience.

What You Will Do:

• Provides solution focused assistance to site staff.
• Ensures all shifts are filled to meet business needs.
• Responsible for the management of “site workbook” of vacant shifts.
• Manages sick time, time & attendance records, filling up shifts, and scheduling.
• Prepares daily assignment sheets for the departments.
• Authorizes and affirms that overtime and agency use is minimal.
• Assures effective communication with management regarding unit staffing status and issues.
• Accurately inputs relief staff into shifts in Kronos.
• Enters accurate hours/pay codes are entered for relief staff.
• Liaison with Unit Clerks/Administrative staff.

What You Will Need:

• High School Diploma or GED required. Diploma in office management or related field preferred.
• Minimum 2 years’ experience in same or similar role.
• Ability to operate related equipment i.e., word processing software and spreadsheet programs.
• Demonstrated proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
• Preference will be given to those who have experience in a unionized health care environment.
• Excellent verbal and written communication skills.
• Upholds in maintaining confidentiality.
• Demonstrated analytical and problem-solving skills.
